The Office of External Affairs encompasses three teams: 1) Communications and Marketing; 2) Development and Alumni Relations and Annual Giving; and 3) Finance and Administration. The Finance and Administration team provides business operations support and includes administrative, finance, development and special events staff who work collaboratively with colleagues in Communications and Marketing and Development and Alumni Relations/Annual Giving. The Alumni Relations and Stewardship Coordinator supports the Alumni Relations and Development teams by coordinating a wide range of stewardship, data management, and administrative activities. Reporting to the Principal Administrative Specialist, this position plays a critical role in maintaining timely donor acknowledgments, assisting with stewardship reporting, managing data and records, and supporting operational tasks that enhance alumni engagement and fundraising efforts. The coordinator will work collaboratively with the development and alumni/annual giving teams. Key responsibilities: Stewardship and Acknowledgments (40%):
- Using the weekly gift report, follow appropriate processes to:
- Prepare, send, and track acknowledgements for all annual giving level donations (less than $10,000), including drafting letters and coordinating with Associate Director of Annual Giving, sending emails, mailing postcards, and updating the gift tracking form to demonstrate tracking completion.
- Prepare, send, and track new donor notecards and emails, as well as in memory and in honor notifications
- Draft for review, send and track acknowledgements for all gifts to the Center for Alternatives to Animal Testing in partnership with the Assistant Director of Stewardship
- Track data on monthly acknowledgments
- Partner with Assistant Director of Stewardship to follow up on outstanding acknowledgments using the gift tracking form.
- Assist with a variety of Stewardship Reporting, including:
- Scholarship Donor reports - monitor Development Communications email for student responses, track in spreadsheet and share in OneDrive; prepare and send mailing as needed
- Donor Impact reports - pull donor information and input data, as well as recipient information into report templates
- Request and organize mailing lists including, but not limited to, bi-annual magazine mailing, student stewardship mailing, and annual stewardship card to donors.
Data Maintenance (30%):
- Provide prospect management support in JHAS:
- Enter weekly acknowledgement actions, stewardship activities, proposals, solicitation approaches, and creating constituent and prospect records.
- Add batch actions and campaigns for stewardship activities
- Update records to track scholarship and award recipients
- Access reports and mailing lists, then use them to confirm data accuracy as requested
- Maintain Database in ACCESS, adding new funds and recipients, identifying and completing missing historical information
- Maintain ongoing document organization and collaboration in One Drive and Shared Drive folders, including but not limited to gift agreement files, Dean acknowledgement letters, various stewardship materials and communications.
Administrative Support (30%):
- Process travel receipts and reimbursements for members of the Alumni Relations and Annual Giving team, and Development Communication as necessary.
- Organize and manage small meetings which includes reserving rooms and technology, ordering food, and preparing materials as appropriate.
- Assist with budget tracking.
- Prepare and submit project briefs as needed
- Prepare and send correspondence and packages via messenger, and FedEx.
- Provide event assistance to development coordinator which may include updating RSVP, creating nametags, gathering various materials, and onsite event logistics.
- Proactively manage tasks, prospects and priorities for the team to properly prepare for upcoming meetings.
- Function as part of the operations team as needed for larger group projects and assignments.
- Proactively monitor and follow-up on action items.
- Other duties as assigned.
Minimum Qualifications
- High School Diploma or graduation equivalent
- Three years related experience
- Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Prior events experience is strongly preferred
- Excellent computer software skills including Microsoft Office and database management are a must, as well as knowledge of project management and electronic mailing software
- Excellent verbal and written communications skills, organizational skills, attention to detail as well as the ability to set priorities, work in an extremely fast-paced environment and meet deadlines are required
- Occasional evening and weekend hours to assist with events are required
- Job responsibilities require significant collaboration and coordination with others
- Proficiency in Microsoft Office Suite (particularly Word, Excel, Outlook, and PowerPoint).
- Experience using donor database systems (e.g., JHAS, or similar platforms).
- Familiarity with collaboration tools like OneDrive and shared drives for document organization.
- Basic comfort with event management platforms (e.g., CVENT, Eventbrite) and email marketing platforms (e.g., Mailchimp, Constant Contact) is a plus.
