We are currently seeking a highly organized Operations Administrative Assistant to join our Boart Longyear team in Glendale, Arizona. This individual will be responsible for providing accurate and efficient administrative support to our operations teams.

Responsibilities



  • Provide general administrative support including correspondence, filing, incoming calls, purchasing, receiving, ordering, scheduling, and itineraries.
  • Enter data with a high level of accuracy for drilling reports, timesheets, invoicing, and other items as needed.
  • Assist with internal paperwork and ensure all data entry requirements are completed accurately and within all deadlines.
  • Support the billing process within Oracle, including project setup, utilization reports, completion reports, and man hour reports.
  • Schedule employee travel, advance payments, and deductions related to employees for multiple divisions.
  • Administer the divisions T&E, Fuel and P-card programs.
  • Proactively follow up with employees regarding expense statement discrepancies.
  • Communicate effectively with employees in both local and remote locations.
  • Complete client invoicing accurately and within deadlines.
  • Follow up with customers as needed.
  • Provide excellent customer service by answering customer queries promptly and accurately.
  • Maintain a high level of professionalism and confidentiality in handling sensitive information.
  • Support financial review tasks as needed.
  • Complete other tasks as required.


Minimum Qualifications



  • High School Diploma or equivalent; Associate's Degree in Business or Accounting a plus.
  • High level of data entry accuracy is essential.
  • Strong organizational skills and the ability to manage multiple tasks and deadlines.
  • Detail-oriented, self-motivated, and customer-service focused.
  • Ability to adapt quickly and work within a fast-paced and dynamic environment.
  • Ability to work additional hours if needed.
