The Boys Town HR Team is currently seeking an Onboarding Specialist to facilitate all pre-employment onboarding requirements for new and transferring employees, in order to ensure a smooth transition to Boys Town or their new role. MAJOR RESPONSIBILITIES & DUTIES: Facilitates all pre-employment onboarding requirements for new and transferring employees.
  • Partners with the Talent Acquisition Partner and Hiring Manager to ensure that the new hire/transfer post offer and onboarding process runs efficiently and creates a positive experience into the organization.
  • Facilitates and monitors that all pre-employment requirements, including criminal backgrounds, DHHS, drug and health screens, I9's, fingerprinting and employment and education verifications are completed in a timely manner and meet all local, contract and position specific requirements.
  • Ensures the completion of all required new hire /transfer paperwork according to federal and state regulations and licensing requirements.
  • Ensures accuracy and timeliness of all materials sent to the new hire/transfer and ensures they understand their responsibilities and deadlines. Resolves any delays or obstacles in the onboarding process in a timely manner, including reminders to the new hire/transfer and requesting missing information.
  • Utilizes HRIS system to monitor and manage the pre-employment process; proactively reviews and maintains all tracking systems for potential concerns and enters and uploads required documents.
  • In partnership with the Hiring Manager, serves as a point of contact for the new hire/transfer to guide them through the process and ensure understanding of logistical details surrounding the start of their employment or transfer to a new position or department.
  • Evaluates the results of pre-employment checks to ensure they meet requirements. Completes individual assessments when needed and elevates to Supervisor when making employment decisions. Completes and follows through on conditions of employment and rescinds offers of employment or terminates new hires based on the outcome of pre-employment checks.
  • Responsible for clearing new hires to start and communicating start dates and first day logistics to all relevant parties.
  • Advises Hiring Manager on required tasks to successfully onboard their new employee and prepare them for their first day and beyond.
  • Coordinates with the Learning and Development and Training teams to manage attendance rosters for New Employee Orientation and Pre-Service training.
  • Serves as a liaison for the affiliate sites across the nation and works with them to complete onsite onboarding tasks.
  • Identifies opportunities for improving the onboarding experience and process efficiencies.
  • May assist in the Recruiting process by scheduling and conducting interviews or attending career fairs.
KNOWLEDGE, SKILLS, AND ABILITIES:
  • High level of customer service.
  • Ability to apply knowledge of policies and procedures and accurately interpret and give correct and consistent information upon request.
  • Ability to problem solve and a high level of critical thinking skills.
  • Working knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.
  • Excellent verbal and written communication skills.
  • Must be detail oriented, able to multitask and able to meet strict deadlines.
  • Must possess the ability to work independently and work successfully in a team environment.
  • Ability to exercise good interpersonal communication skills to interact with internal and external individuals at all levels.
  • Ability to understand and apply federal, state and local changes to and/or new regulations/laws pertaining to employment.
  • Ability to maintain a high level of confidentiality.
  • Ability to understand and maintain organizational compliance driven by contract and other governing bodies.
REQUIRED QUALIFICATIONS:
  • High School Diploma or equivalent required.
  • Minimum of 2 years of relevant work experience in Human Resources or related field required.
PREFERRED QUALIFICATIONS:
  • Minimum of 2 years of relevant onboarding experience preferred.
  • Associate degree preferred.
  • Familiarity with employment, employment laws, EEO, and personnel record keeping practices highly preferred.
  • Previous Workday experience preferred.

PHYSICAL REQUIREMENTS, EQUIPMENT USAGE, WORK ENVIRONMENT:
  • Position is relatively sedentary in a normal office administrative environment involving minimum exposure to physical risks. Will use office equipment such as a computer/laptop, monitor, keyboard, and a general workstation set-up.
