Essential Job Duties |
Serve as support to the academic unit head.
Manage the academic unit head's calendar and schedule appointments based on operational knowledge, responsibilities, and key departmental priorities.
Coordinate with the department head on workflows related to faculty and student hires, budget reconciliation, course schedules, academic calendar, travel, and event planning.
Proactively identify and resolve issues impacting the academic units.
Partner with the unit head to develop comprehensive reports supporting accreditation, faculty and program assessment, faculty searches, and curricular planning.
Act as the primary contact for written and verbal communications regarding programmatic matters on behalf of the academic unit head.
Collaborate with staff in the college's centralized support offices, dean's office, graduate program coordinators, faculty, and other university administrative units.

Minimum Experience/Education |
-Professional administrative experience with a strong ability to work independently, exercise sound judgment, discretion, and maintain confidentiality.
-Excellent organizational, time management, and planning skills, including the development and implementation of weekly agendas to support daily and weekly workflows.
-Strong written and verbal communication skills, with the ability to navigate conflict, adapt to shifting priorities, and communicate effectively in a collaborative environment.
-Proven ability to work collaboratively with faculty, department heads, and colleagues, contributing to team-based tasks and shared goals.
-Proficient in digital tools, including Google Workspace (Docs, Sheets, Slides, Forms), with the ability to manage and maintain Google and other structured file systems according to departmental and university structures.
-Ability to contribute to and maintain Google Drive file management systems
-Experience in financial and budget-related administrative tasks, such as processing purchase orders/invoices, reconciling budgets, and assisting with departmental budget/financial projections and documentation.
-Capable of supporting academic operations, including recording meeting minutes for faculty or department meetings and providing general support aligned with department goals.
