Salary Range or Starting Hourly Rate: 25.95 - $31.45 / hour

Overview

Beyond New Horizons, LLC (BNH) has an exciting opportunity for an Administrative Assistant supporting TOS II, at Arnold Air Force Base, TN. The Administrative Assistant will be working as a member of an integrated team responsible for supporting the United States Air Force Test Operations and Sustainment efforts.

Job Summary

The successful candidate will provide administrative and secretarial support of a responsible and confidential nature and perform document control and records management activities to help ensure the smooth functioning of the branch.

Job Duties:

    Administrative position working independently primarily supporting the Subcontracts group with invoice processing and providing support to the Acquisitions Branch Manager and the Acquisitions management staff.
  • Receives and screens phone calls directing them to the appropriate parties. Ensures coverage in absence.
  • Composes and distributes complex correspondence using standard word processing systems or other software applications. Keeps abreast of key issues, commitments, and priorities of manager.
  • Supports the Subcontracts group with invoice processing & resolution, maintaining self-assessment and proforma documentation, and overseeing filing and archiving of subcontract folders and documentation.
  • Compiles briefing charts, summary reports, and other presentation materials as required.
  • Assists employees in completing training requirements and maintaining other training documentation.
  • Schedules meetings, appointments, and coordinates travel arrangements as needed, including preparation of expense reports.
  • Maintains office supplies ensuring supplies are available when needed.
  • Collects, reviews, and distributes incoming hard copy and electronic mail. Independently handles mail not requiring the manager's attention. Reviews outgoing mail to ensure accuracy and proper format. Follows up to ensure action.
  • Assists in the implementation of procedures and filing and record-keeping systems, including performing data entry and records management functions.
  • Maintains branch organization chart.
  • Supports interview scheduling, on-boarding of new hires and subcontractors.
  • Supports development of metrics to improve workflow, efficiency, and staffing.
  • Determines action on important or emergency matters or knows whom to contact in absence of the branch manager.
  • Performs other duties as required.
  • It is a condition of employment to wear company issued PPE (Personal Protective Equipment) in accordance with supervisory direction and company policy.

Basic Qualifications:

  • High school diploma or equivalent plus six years of applicable experience or any equivalent combination of applicable education and experience.
  • Current US citizenship required.
  • Any pre-screening/tests required (not including standard background/clearance checks).
  • Must be able to obtain and maintain a security clearance and the AEDC local area network.
  • Demonstrated skill in word processing and operation of standard computerized systems and other information transmission systems.

Preferred Qualifications

  • Excellent oral and written communication skills.
  • Knowledge of document control and records management systems, and common office procedures, and professional telephone practices.
  • Strong organizational skills.
