Academic Services in an integrated office containing the offices of Financial Aid, Registrar, Space Management/Room Reservation, Enrollment Reporting, and Commencement. The Student Services Coordinator (SSC) will perform the functions of a transcript specialist and assist with visiting medical student application and on-boarding processes.

Job Description

Essential Functions

  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Process academic transcripts requests for pick up, mailing, and electronic transmission.
  • Monitor and oversee automated transcript processes to ensure smooth on-time delivery and communicate regarding service interruptions.
  • Complete enrollment and graduation verification letters and forms, including licensing forms or other verifications of credentials.
  • Work with the Assistant Director of Academic Operations on Apostille requests.
  • Assist Senior Associate Registrar with visiting medical student program by reviewing applications, responding to email communication and onboarding visiting students.
  • Manage incoming registrar communications, reply and delegate responses; interact with co-workers, visitors, and other staff consistent with the customer services values of Jefferson and the Office of Academic Services
  • Assist with special projects that require accurate data entry into computer systems, database and spreadsheets
  • Perform other duties as assigned.

Competencies (Knowledge, Skills, and Abilities Required):

  • Comply with all published College Rules, procedures, guidelines, and laws/regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.
  • Supports a team-based work environment; interacts with co-workers, visitors, and other staff consistent with the mission of the Office of Academic Services and the core values of the university.
  • Participate in all Office of Academic Services-related activities including but not limited to commencement and other university-wide event where Registrar representation is needed.

Minimum Education and Experience Requirements:

Education:

  • High School Diploma or GED required.

AND

Experience:

  • Previous experience in higher education, preferably a Registrar's Office preferred.
  • Experience with student information systems preferred.
  • Experience with basic data organization in Excel required
  • Ability to coordinate with others outside of department
