Job Description

YOUR OPPORTUNITY

We have an exciting Purchasing Coordinator opportunity at our Optima office. The Purchasing Coordinator will support the purchasing needs of the transportation department as well as other operational areas by issuing purchase orders, coordinating vendor communication and resolving invoices. This role ensures timely and cost-effective procurement of goods and services, with a focus on transportation related items such as fleet parts, maintenance, fuel, and equipment rentals. The Purchasing Coordinator works closely with department leaders, vendors, and Accounts Payable to maintain purchasing accuracy, support operational efficiency, and ensure compliance with company procedures and standards.

RESPONSIBILITIES



  • Create and issue purchase orders for transportation-related goods and services (e.g., fuel, maintenance, repair services, fleet parts, equipment rentals) with accurate coding for Accounts Payable processing.
  • Generate routine and ad hoc reports to support spend analysis, vendor performance, and inventory planning.
  • Collaborate with the transportation department to understand operational needs and ensure procurement compliance.
  • Assist in resolving invoice discrepancies and ensure timely payment by coordinating with Accounts Payable.
  • Analyze usage data and reorder patterns for critical inventory to ensure appropriate stock levels and avoid service disruptions.
  • Support data integrity in the ERP system, ensuring purchases follow standard naming conventions and tracking methods.
  • Communicate proactively with supervisors, mechanics, and vendors to provide purchasing support and customer service.
  • Perform other related duties as assigned, including support for additional departments as needed.

QUALIFICATIONS

Required:



  • High School or GED.
  • 1 year of relevant experience.
  • Analytically minded and willing to learn new ERP systems.
  • Process oriented


Preferred:



  • Bachelor's Degree or 2 years of Purchasing experience
  • Proficient in Microsoft Office; Word, Excel & PowerPoint
  • Oracle or SAP knowledge



SCHEDULE.



  • Regular business hours (8am - 5pm; M-F)

  • The hours and days of work are established by departmental needs and at the discretion of management. After-hours, weekends, and overnight travel as requested.
