Responsibilities

  1. Works efficiently and accurately in the service line's electronic medical record completing assigned workflows/tasks.
  2. Accurately maintains electronic medical records for the service lines.
  3. Processes medical records requests from outside entities.
  4. Answers and routes telephone calls; conveys information both orally and in writing. Answers inquiries from Seniors/clients, staff, other departments, and the general public; guides to appropriate resources.
  5. Collects, reviews and distributes incoming and outgoing mail, e-mail, and correspondence. Handles appropriately, elevating crucial or time-sensitive matters.
  6. Manages all incoming and outgoing faxes, assuring accuracy and timeliness, and then distributing to the appropriate person for follow up.
  7. Collates information, creates invoices and submits for payment to service line leaders to process.
  8. Acts as office receptionist greeting and directing visitors, coordinates meetings as directed by management team and initiates requests for information when required.
  9. Creates schedules for staff in electronic medical record and communicates updates to Seniors/clients and staff.
  10. Mails out required documents for service line to Seniors/clients to maintain regulatory compliance of the service line.
  11. Enters and edits time/punches in the payroll system to assure accurate payroll processing. Communicates with staff regarding issues with timecard. Provides summary reports weekly of payroll activity to service line leaders.
  12. Supports service lines with tracking of infection control data to assure compliance with regulations, and communicate with other facilities as directed by leadership.
  13. Makes phone calls to physicians, Senior/clients and staff to coordinate completion of all needed documentation.
  14. Trains volunteers and assists with the volunteer tasks.


Qualifications

COMMUNICATION: Must be able to speak, read, write, and understand the English language as well as terminology and jargon specific to the job.

PHYSICAL REQUIREMENTS: Ability to gain access to the work area and then safely perform the duties of the job. Vision and hearing within normal limits (with or without correction) Must have unrestricted lift/push/pull ability of 25 - pounds, demonstrating strength and agility at Tabitha's discretion.

EQUIPMENT USAGE: Standard and specialized equipment including laptop, PC, tablet, photocopier, scanner, fax machine, and telephone.

AGE REQUIREMENT: At least age 18.

EDUCATION: High School Diploma or equivalent required.

EXPERIENCE: Health care experience preferred. Office setting experience preferred.

CREDENTIALS: Must meet Tabitha's vaccination requirements
