Salary offers are based on the candidate's equivalent experience and internal equity with other employees within the same job classification. The position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

About the Position

The Management Assistant provides advanced administrative support and analysis services to the Transportation Systems Management and Operations Assistant Division Manager and Branch Managers. With minimal supervision and drawing on a broad knowledge and understanding of the TSMO Division's operations and procedures, the position will focus on productivity and innovation to provide a variety of key administrative support and services such as records management, reports and presentations, researching, assisting with division operational budget tracking, administrative support, and serving as a task lead on special projects.

We Require

  • Two years of responsible administrative support experience

  • Associate's degree in Public Administration, Business Administration, or a closely related field

  • An equivalent combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis

We Also Value

  • Bachelor's degree in Public Administration, Business Administration, or a relevant field

  • Five or more years of administrative experience

  • Experience providing administrative support and financial management for high-level executives

  • Experience with MS Office, ADP, and database management.

Job Contributions

  • Receive, research, and gather information, perform analysis, conduct product research, and process requests and/or respond to inquiries for all TSMO branches

  • Support the TSMO Assistant Division Manager and TSMO Division in the budget and forecasting of expenditures, preparation, analysis, and tracking of the Division's monthly operations

  • Coordinate administrative activities and resources for the TSMO Division Manager, Assistant Division Manager, and Division branches

  • Provide guidance to staff on travel submittals. Prepare and process all travel requests and accompanying documentation for approval

  • Provide administrative and technical support for each of the TSMO Division Branches: Traffic Engineering, Traffic Operations, and Traffic Technology

  • Update records and tracking systems, such as spreadsheets and Power BI, and assure the accuracy of databases

  • Provide support for AZTech committees, including research, developing reports, developing agendas, taking notes, creating and circulating meeting minutes for approval, and scheduling meetings

  • Other job duties as assigned

Working Conditions

  • This position requires the employee to be in the office/field or customer-facing for all hours worked

  • Exerting up to 10 pounds occasionally or negligible weights frequently; sitting most of the time

  • Position is typically office or administrative work and is not substantially exposed to adverse environmental conditions

Machines, tools, equipment, software, and hardware

  • Proficient in Microsoft Office applications
