Buckeye Partners is currently seeking a Specialist, Document and Records Management with experience supporting documents and records management programs in the Oil & Gas Industry to join our team!

Role Summary:

The Specialist, Documents and Records Management is responsible for supporting the day-to-day process management and support services as it relates to documents and records management.

Responsibilities & Essential Functions include:




  • Documents Management Process Management and Support

    • Execute the document control process including managing document review cycles, and review and approval workflows.
    • Manage document update requests and ensure they are processed in a timely manner.
    • Ensure review and approval workflows are executed in a timely and effective manner.
    • Provide training and support on document management procedures and processes.
    • Support and provide guidance on the structure and maintenance of the Documents Management System.
    • Support Technical Writers with organization and publication within the Document Management System as needed.


  • Records Management Process Management and Support

    • Ensure the proper storage, retrieval, and destruction of electronic records according to Company retention schedule through established processes.
    • Support classification and indexing of electronic records as needed.
    • Liaison with program management and the Legal department to collect, analyze, and document business rules and processes to appropriately apply records management workflows.
    • Provide training and support on records management procedures and processes.


  • Other duties as assigned.



Position Requirements:




  • Bachelor's Degree or equivalent required, preferably in Information Management, Business Administration, or a related field.
  • 3+ years of professional or related industry experience.
  • Proven experience in records management, document management, data management, or a similar role.
  • Knowledge of records management and/or document management software and/or electronic filing systems.
  • Strong organizational and analytical skills with attention to detail.
  • Strong interpersonal, communication, and customer service skills.
  • Advanced experience with SharePoint and Microsoft Office.
  • Up to 15% travel.



Other skills, attributes and abilities:




  • Demonstrated problem solving and project management skills.
  • Excellent communication (oral, written and presentation) skills are required, as well as exceptional interpersonal skills.
  • Familiarity with relevant laws and regulations regarding document management and/or records management in the Oil and Gas industry is a plus.

  • None required.
