Position Summary
We are seeking a meticulously organized and proactive Contracts & Legal Assistant to support our contracts and legal operations. This role is ideal for someone who thrives in an administrative support function but also brings a high degree of ownership and initiative.
The ideal candidate will help ensure that no detail is overlooked in the handling of Non-Disclosure Agreements (NDA), Teaming Agreements (TA), contract modifications, and compliance documentation, while also assisting with broader program tracking and communication tasks. We're primarily looking for someone who can learn fast, think critically, and keep complex administrative workflows running smoothly.
Key Responsibilities:
The Contracts & Legal Assistant supports the contracts and legal team by performing a variety of administrative and research-related tasks to ensure the efficient operation of the legal department. Working closely with Sr Contracts Manager and other internal stakeholders, this role assists in executing a wide range of legal support functions with professionalism and attention to detail. Responsibilities may include:
- Prepare, proofread, format, send, and track legal documents such as contracts, NDAs, TAs, and correspondence.
- Conduct legal research and assist in compiling data for internal or external legal review.
- Maintain and organize electronic and physical contractual filing systems.
- Manage reminders, task checklists, and updates for deliverables such as CDRLs and past performance submissions.
- Prepare materials and documentation for meetings and internal reviews.
- Liaise with internal departments (contracts, HR, compliance, finance) and external counsel as needed.
- Support contract and compliance tracking, helping ensure ISPA remains current with all legal and contractual reporting requirements.
- Maintain confidentiality of all legal and sensitive business matters.
Qualifications:
Typical Education: Associate's degree or higher in Legal Studies, Business Administration, or a related field. Legal assistant or paralegal certification preferred.
Typical Experience: 3+ years of experience in a legal support or paralegal role, preferably within a corporate, government contracting, or federal agency environment.
Additional Guidelines:
- Exceptional attention to detail, time management, and organizational skills is a must
- Proficient in Microsoft Office (Word, Excel, Outlook) and legal research tools; experience with contract management systems is a plus.
- Ability to manage competing priorities and deliver accurate results under deadlines.
- Strong written and verbal communication skills with a high level of discretion and professionalism.
- Comfortable working independently as well as collaboratively within a small contracts or cross-functional team.
- Familiarity with government contracting principles is preferred.
- Flexibility to adapt to dynamic priorities or urgent legal matters as needed.
