The Alaka`ina Foundation Family of Companies (FOCs) is looking for an Administrative Assistant II to provide research support administration services for our government customer in San Antonio, TX.

DESCRIPTION OF RESPONSIBILITIES:

  • Conduct Check-in and Checkout procedures for all personnel assigned.
  • Update all command instructions/directives to adhere with MEDIG requirements.
  • Coordinate the proper flow, review for accuracy, and content of incoming and outgoing correspondence between the directorates and the Commanding Officer for signature.
  • Type Appointment Letters, Command Instructions/Notices.
  • Process all civilian and military awards.
  • Deliver the Plan of the Week (POW).
  • Maintain, update, and submit the monthly manpower report to NMRC.
  • Support the forms and reports manager with the Records Management, Forms and Reports Management Programs.
  • Work with the Deputy Director for Administration to maintain MED-IG compliance with the Civilian Personnel Management Program.
  • Wok with the Deputy Director for Administration's adherence to MED-IG compliance with the Total Force Management and Military Special Pays Programs.
  • Process and upload all military actions via the Transaction Online Processing System (TOPS) to local Personnel Support Detachment. These transactions include pay documents, retirement documents, page two updates, Service Members Group Life Insurance (SCLI), record updates, and special pay allowances.
  • Answer, screen and direct emails daily. Respond to email inquiries and provide requested information.
  • Manage and maintain all office files, including electronic files in the shared drive.
  • Draft correspondences, memorandums, and emails.
  • Make copies and convert documents to electronic files.
  • Summarize, collate , redact, and organize records.
  • Pickup, receive, sort, and distribute mail.
  • Manage all non-technical and technical correspondence and reports using both civilian and military correspondence in accordance with the Navy Correspondence Manual.
  • Monitor, screen, respond to, and distribute incoming communications including phone calls, regular mail, emails, and electronic correspondence.
  • Prepare and edit correspondence, communications, presentations, and other documents. Examples include PowerPoint presentations and Government correspondence such as instructions and notices.

REQUIRED DEGREE/EDUCATION/CERTIFICATION:

Minimum of associate's degree in business and a clerical field with two (2) years' experience or documented executive administrative experience of four (4) years or greater.

REQUIRED CITIZENSHIP AND CLEARANCE:

  • Must be a U.S. Citizen
  • Must be able to obtain a Common Access Card (CAC)
