Your Role on the Team

The Facilities & Event Operations Specialist plays a key operational role overseeing both event services and facilities support across the Division of Continuing Education's five instructional and administrative buildings. This position ensures the smooth delivery of evening and weekend educational programs and maintains facility readiness to support DCE's commitment to high-quality continuing education. In addition, the specialist supports the needs of DCE tenants, and off-site locations including leased space in the Irvine Train Station.

Working an adjusted schedule (11am-7:30pm sometimes, 12-8:30pm), the specialist provides on-site leadership during extended hours, directly supervising five full-time senior custodians and 10-20 part-time student assistants responsible for classroom and event services-particularly during evenings and weekends when other management is not present.

The specialist is also responsible for maintaining DCE buildings, coordinating with various UC Irvine approved contractors and UC Irvine Facilities Management to ensure optimal operations.


What It Takes to be Successful

Required:

  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Proficiency in Microsoft Office with emphasis in Teams, Excel, and Outlook.
  • Bachelor's degree in related area and / or equivalent experience / training

Preferred:

  • Bilingual communication in Spanish.
  • Knowledge of facilities management with familiarity with HVAC, electrical, plumbing, electronic locks, and fire alarm systems.
  • Thorough knowledge of University rules and regulations, processes, protocols and procedures related to facilities, events, and emergency preparedness.
  • 3-5 years Facilities management role, leading custodial teams and communicating with a wide range of vendors and partners to achieve cost-effective results.
  • 1-3 years Operational responsibility for delivery of all events and classroom services
