Role Summary

The Centralized Workplace Lead at Rivian plays a critical dual role, functioning as both a project and program manager within the Workplace Development Team (Office, R&D Lab Facilities). This position is pivotal in overseeing the end-to-end lifecycle of workplace projects, from initial scope definition and meticulous cost estimation to bid reviews and financial approvals. Additionally, the role encompasses comprehensive program management across the entire portfolio of Workplace projects, including financial tracking, contract management, process development, and resource forecasting, ensuring strategic alignment and operational efficiency.


Responsibilities

Project Management & Oversight:

  • Lead and oversee a dedicated team responsible for defining project scope for all Rivian Workplace and R&D Facilities development.
  • Direct the assembly of both high-level Rough Order of Magnitude (ROM) estimates and detailed line-item project estimates.
  • Conduct and oversee thorough bid reviews and final cost reconciliations at the project level.
  • Manage all aspects of Project Accounting, including liens, releases, and Tenant Improvement Allowance (TIA) reimbursements.
  • Collaborate extensively with cross-functional teams including Planning, Estimating, Real Estate, Construction, and Design Managers to ensure precise project definition, planning, and accurate pricing.
  • Strategically guide projects through the entire approval process, encompassing initial project plans, schedules, and any subsequent financial or schedule modifications.
  • Compile comprehensive project-specific data from real estate, design, and construction teams during early development phases, proactively identifying information gaps and conducting necessary research to ensure completeness.
  • Provide expert assistance to Project Managers in the analysis and validation of change order costs.
  • Work collaboratively with Preconstruction team members to integrate completed project information (costs, schedules, lessons learned, etc.) into centralized estimating tools and the Facilities Operating System (FOS).

Program Management & Strategic Development:

  • Assume primary responsibility for comprehensive Program Management across the entire portfolio of Workplace projects.
  • Implement and manage quarterly program financial tracking and forecasting.
  • Oversee and manage all AEOR (Architect, Engineer, Owner's Representative) / GC (General Contractor) / CM (Construction Manager) / Consultant contracts.
  • Conduct detailed reviews of Master Contractor Agreements and Work Orders to ensure compliance and efficiency.
  • Lead the development of internal processes, workflows, and specialized tools to enhance project and program management effectiveness.
  • Accurately forecast project resources and headcounts to support future initiatives.
  • Maintain overall program tracking for the entire portfolio of Workplace projects, providing clear visibility into progress and performance.
  • Proactively update and refine existing cost models, ensuring they accurately reflect current market conditions and project-specific variables to continuously enhance estimating precision.
  • Support the development and ongoing maintenance of program prototypes for standardized project execution.
  • Contribute to the establishment and continuous expansion of a historical cost database.
  • Perform detailed review of contractor bids to verify pricing accuracy and adherence to Rivian's standard format; request and scrutinize contractor backup documentation to confirm costs and gain detailed understanding of bids.
  • Assist in building and maintaining a national AEOR and contractor database, including reaching out to general contractors and relevant subcontractors for early prequalification prior to project kick-off.

Qualifications

Education & Experience:

  • Bachelor's degree in Construction Management, Engineering, Architecture, or a related field, combined with 10+ years of increasingly responsible experience in Project Management.

Skills & Abilities:

  • Experience in people management.
  • Exceptional oral and written communication skills, with the proven ability to effectively communicate across internal Operations, Design, Real Estate, and Construction teams, as well as external contractors.
  • Demonstrated ability to build and maintain strong, collaborative working relationships.
  • Proficient in quantity takeoff, capable of performing both high-level quantifications and detailed takeoffs as required.
  • Possesses strong attention to detail, enabling thorough review of plans, AEOR/contractor estimates, and scopes of work.
  • Capable of independent action with minimal direction, demonstrating the ability to determine daily priorities based on high-level team goals.
  • Highly effective negotiation skills.
  • Thorough understanding of comprehensive project administration processes, including contracts, budgets, construction documents, change orders, schedules, Requests for Information (RFIs), submittals, and material procurement.
  • Proficient in the use of standard business software applications (e.g., Google Docs, Sheets, Excel, Outlook).
  • Excellent time management and organizational skills.

Work Environment & Physical Demands:

  • Primarily works in an office environment; on-site 3 days a week, subject to change in future.
  • Occasional requirement for on-site presence at construction work sites, which may involve exposure to moving mechanical parts, high precarious places, fumes or airborne particles, outside weather conditions, and risk of electrical shock.
  • Noise levels in these work environments typically range from moderate to very loud.
  • Performance of required duties will occasionally necessitate physical ability to climb permanent and temporary stairs, ascend ladders, and navigate construction work areas.

Pay Disclosure

Salary Range for Atlanta, GA based applicants: $145,400 - $181,700 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).

Benefits Summary: Rivian provides robust medical/Rx, dental and vision insurance packages for full-time and part-time employees, their spouse or domestic partner, and children up to age 26. Full Time Employee coverage is effective on the first day of employment. Part-Time employee coverage is effective the first of the month following 90 days of employment.
