Who we are and what we do:

TennCare is Tennessee's managed care Medicaid program that provides health insurance coverage to certain groups of low-income individuals such as pregnant women, children, caretaker relatives of young children, older adults, and adults with physical disabilities. TennCare provides coverage for approximately 1.7 million Tennesseans and operates with an annual budget of approximately $14 billion. It is run by the Division of TennCare with oversight and some funding from the Centers for Medicare and Medicaid Services (CMS).

Job Overview:

Under supervision of the Executive Assistant for the Chief of LTSS within the Long-Term Services and Supports (LTSS) Executive Support Unit, an employee in this position will serve as the Project Management Specialist. In addition to supporting project management functions, this position will also support employee engagement activities. Long-Term Services and Supports (LTSS) is one of the largest units within TennCare with teams of highly capable staff who are committed to leading the ongoing development and operation of an innovative, sustainable, person-driven long-term services and supports (LTSS) system in which older adults and people with disabilities and/or chronic conditions have choice, control and access to a full array of high quality services and supports that assure optimal outcomes, including independence, health and quality of life.

Key Responsibilities:

  • Maintain project trackers, Project Management calendar, summaries, and documentation to support LTSS deliverables.
  • Manage process for provider and member document review. This includes receiving requests, tracking, turning requested document into a shared version, and identifying the appropriate team members for review. Respond with collective feedback by the deadline established for each review.
  • Maintain an organized filing system in shared drives and SharePoint. Manage project updates, inbox, scheduling, submissions, and stakeholder coordination.
  • Actively participate in all scheduled meetings as requested, capturing meeting minutes and disseminating to all attendees.
  • Support executive leadership with travel, Service Now requests, expenses, and serve as backup to the Executive Assistant for the Chief of LTSS.
  • Support all employee engagement activities as directed to include leading team building committee meetings, assisting with the internal LTSS newsletter, coordination of events, survey coordination and tracking, and participating in employee engagement action planning.
  • Organize quarterly staff meetings and events, managing all related logistics.
  • Attend project meetings, document discussions, follow up on action items, and provide flexible team support.
  • Assist with the onboarding of new hires as assigned.
  • Provide general in person administrative support to the Executive Supports Team, as assigned.
  • Serve as a positive representative for LTSS at in-person team building meetings, such as through monthly SPARK meetings.

Minimum Qualifications:

  • Bachelor's degree and 2+ years of full-time professional staff administrative experience or related work.

Desirable qualifications:

  • Must have proven effective and efficient customer service skills to communicate with internal and external partners.
  • Must have excellent written and verbal communication skills required to foster and maintain cohesive working relationships.
  • Must have the ability to work as part of a team in a fast-paced environment.
  • Must have exemplary organizational skills, including the ability to prioritize, multi-task, and manage workload to meet specific timeframes and deadlines.
  • Must be proficient in Microsoft Office programs including but not limited to Word, Excel, and Outlook.
  • Must be comfortable navigating multiple systems to research and aggregate information to resolve inquiries.
