Job Summary

The Professional Billing Group provides billing and collection services for more than 900 UCD Health System Faculty Physicians. This dual-role position supports both administrative operations and courier services for the department.

The Administrative Assistant reviews and sorts incoming correspondence, carefully identifying items that require distribution, copying, or managerial review and action. The role performs a wide range of professional, clerical, and logistical tasks to ensure the smooth operation of the department.

Courier responsibilities include the daily pickup of New Day medical claims, transport of departmental deposits, and delivery of mail and materials. Upon return, all mail must be sorted and distributed to the appropriate recipients.

The incumbent must comply with the State of California Motor Vehicle Code, UCDMC access regulations, and all departmental procedures and safety guidelines while operating the delivery vehicle. A valid California Driver's License is required, and participation in the DMV Pull Notice System is mandatory.

Efficiency and organization are essential in this role to maximize delivery routes, reduce time spent, and minimize distance traveled. Strong time management skills and flexibility are required to quickly adjust to shifting priorities. The incumbent must maintain consistent, clear communication with their supervisor regarding workload, route status, and assignments.

The position also requires adherence to safety procedures, including safe lifting and proper material handling techniques. Vehicle security must be maintained at all times, including locking doors and securing windows. Additionally, the incumbent is responsible for safeguarding confidential materials during transport, ensuring confidentiality and security of all packages and documentation.

  • Required to hold a valid California driver's license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program
  • High School diploma or equivalent experience
  • Ability to work cooperatively and constructively with employees and Administration.

  • Ability to file in alphabetical, numerical, and chronological order.

  • Math skills to accurately add, subtract, multiply, and divide.
  • Knowledge of medical terminology to correlate medical reports to actual charges.
  • Ability to identify various types of Explanation of Benefits (EOB).
  • Ability to read and comprehend department policy, internal and external correspondence.
  • Writing skills to effectively compose internal and external correspondence.
  • Proofreading skills to identify and correct own errors.
  • Communication skills to communicate effectively with all internal and external customers.
  • Ability to work independently.
  • Ability to follow verbal and written instructions.
  • Keyboarding skills to effectively operate computer terminal and P.C.; prepare internal and external correspondence and forms as required.
  • Ability to track completed work using Microsoft Word and Excel.

Preferred Qualifications

  • Courier services experience preferred
  • Working knowledge of Microsoft Office Software preferred.

This position provides is responsible for the timely and accurate processing of correspondence related to medical services provided by UCD Health System Faculty Physicians, posting denial and adjustments, operational support, and coordination of correspondence, claims and mail activity for PBG.

Work Environment
