Overview
The Business Process Specialist (Business Assistant II) is a key member of a dynamic and collaborative team dedicated to supporting the departments within Utah State University's Division of Student Affairs. This role serves as a critical resource and advocate, helping departments confidently and easily navigate financial and administrative processes.

The Business Process Specialist supports the Business Services team by performing various bookkeeping and accounting tasks. Responsibilities include clerical and transactional support for accounts payable, accounts receivable, travel, student accounts, and general accounting functions. These duties are fundamental to the core financial operations of the University.

Individuals in the Business Assistant series bring relevant knowledge and experience to coordinate day-to-day business operations for assigned departments. They are responsible for initiating, completing, and facilitating key processes related to finance, personnel, travel, and other administrative functions. This position ensures efficiency, accuracy, and consistency across Student Affairs operations.

Responsibilities
  • Prepares and distributes bills and statements.
  • Analyzes data and generates reports.
  • Prepares various documents such as contracts, agreements, and claims.
  • Makes purchases in accordance with University policies and practices.
  • Develops and maintains record keeping systems.
  • Develops and maintains spreadsheets and databases to track information.
  • Reviews and reconciles financial records.
  • Evaluates monthly budgets and financial reports for the department or program.
  • Coordinates and attends various meetings.
  • Monitors project status to verify correctness and completion.
  • Assists with fiscal planning and development of annual budgets.
  • Performs personnel processes, including payroll, job postings, and employment action forms.
  • Prepares travel arrangements and documents in accordance with policies and procedures.
  • May provide coordination of documents required for business transactions.
  • Performs miscellaneous job-related duties as assigned.


Qualifications
Minimum Qualification:
  • Four years of related work experience; or an associate degree/technical training plus two years of related work experience; or a bachelor's degree in a business field is required

Knowledge, Skills, and Abilities:
  • Knowledge of accounts payable procedures.
  • Knowledge of accounts reconciliation and ability to reconcile accounts.
  • Knowledge of methods, practices, and terminology used in preparing and maintaining financial and statistical records/reports.
  • Knowledge of purchasing policies and practices for a public institution.
  • Skilled with computer programs, including spreadsheets and relational databases.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.

The work environment for the Business Process Specialist is a typical office setting, located within a professional university environment. The role involves frequent use of a computer, phone, and standard office equipment. Most duties are performed indoors with a consistent, moderate noise level and stable environmental conditions.

Physical Demands:
Primarily sedentary work with prolonged periods of sitting at a desk and working on a computer.
