We Are Inspired to Serve. Join us!Part of a nationwide family of Continuing Care Retirement Communities, Covenant Living is seeking a Part-Time Receptionist/Concierge. This position is multi-task with customer service with Residents, team members, visitors, answering phones, scheduling transportation and Business office support in a manner that promotes Covenant Living of Bixby in a positive, professional way.

In this role, the Receptionist will:

  • Answer all telephone call as quickly as possible in a polite, personal, and friendly manner. Transfers calls appropriately to respective departments.
  • Monitor emergency system, directs staff to emergent situations, calls emergency personnel as appropriate, and assists with monthly Fire Drills for assigned designated areas to monitor.
  • Greet Visitors, Family and Vendors and provide appropriate directions to respective Resident locations or Department Leadership. Ensure the safety of Resident Confidential information and that Caregivers sign in accordingly to Licensed area and wear appropriate badges according to policy and procedure.
  • Ensure that the Concierge desk and lobby is kept clean and organized at all times and at the end of the day items are restocked appropriately.
  • Maintain and monitor schedules for Assisted Living Resident doctor transportation appointments with 48 hours' notice to accommodate and coordinate and communicate the timing of transportation to residents and drivers.
  • Assist residents in signing up for programs, activities and collect payment when needed.
  • Is knowledgeable with Microsoft Outlook calendars and comfortable with other programs, Word, publisher and will also need to learn our Resident census program PointClick Care. Experience with office equipment copiers, laminator and can demonstrate how to use it reports supply need and assist other departments with items.
  • Receive packages and mail, assist UPS,Amazon, Fed-X with Residential deliveries as needed and inform residents/department staff of packages to pick up.
  • Maintain Campus maintenance requests from Residents, staff or team leaders, input requests into Worxhup system, and communicate to appropriate maintenance staff urgent or emergent situations.
  • Complete all Ancillary monthly charge sheets (Guest Meals, Salon, Guest Rooms, etc. in accordance with procedure and process. Maintain updates and changes to all Concierge department charge sheets etc.
  • Update and maintain Resident Highlights, Flyers, Announcements, Concierge manual book, Resident Record forms we utilize.
  • Support Business Office Manager with clerical duties, collecting monthly rent and other assigned duties. Support to other departments as needed with announcements and small tasks as needed.

The ideal candidate will have:

  • High school education or equivalent.
  • One year of Business/clerical experience
  • Highly organized, detail oriented with excellent interpersonal and communication skills both verbal and written in English. .
  • Pleasant personality and telephone voice.
  • Ability to remain calm in an emergency situation.
  • Complete confidentiality & Hippa understanding & Resident general information.
  • Knowledge of computers including Microsoft Office Suite.
  • Interest in and desire to work with older adults

Compensation Pay Range:

$12.64 - $15.05

Reasonable Pay Estimate

A reasonable estimate of the pay range for this position is $12.64 - $15.05. There are numerous factors taken into consideration in determining the actual offered rate of pay, including but not limited to: job-related qualifications, experience, skills, education, geographic location, and consideration of internal and external equity.
