Job Description Summary

This position serves as the primary administrator and subject matter expert for the university's event and space management system. A key function of this role is to foster collaboration and build consensus among a diverse range of campus partners, including academic departments, event organizers, and central offices. By building strong relationships, the University Space Reservation System Project Analyst guides a unified approach to space utilization and policy, ensuring the system's ongoing development and use are aligned with the needs of the entire university. The analyst leverages deep expertise to champion solutions and continuously improves processes that benefit everyone, all while providing the day-to-day administration of the University's space management system.

Job Description

Essential Functions:

  • Serves as the functional administrator for the campus-wide space management system. Manages and monitors the day-to-day operations of the system, including room reservations and academic space use.
  • Chairs leadership and space management teams to maintain a collaborative environment between departments. Works with key campus stakeholders, including EMS Advisory Team Members, The Office of the University Registrar, Information Systems, Deacon OneCard, and Facilities & Campus Services to guide and inform decisions.
  • Leads projects related to space management, developing and providing metrics on space utilization to campus and senior leadership. Manages testing of all system upgrades, integrations, and customizations.
  • Working with key campus stakeholders, creates campus space use policies and procedures to facilitate effective resource utilization, standardized processes, and consistent communications.
  • Communicates with and educates the campus community on the space management system and processes.
  • Directs testing of system upgrades, integrations, and customizations related to the space management system and trains users on new functionalities based on the ever-evolving business needs.
  • Manages 3rd party vendor relatlicensing andant to the space management system, negotiates fair contracts and licensing, and communicates user requests and organizational priorities to the vendor.
  • Develops and delivers training for advisory team members, space managers, and users on new functionalities and procedures.
  • Provides specialized guidance and training for students and other groups hosting high-profile and complex events to ensure the successful use of the system.
  • Collaboration with Information Systems, Deacon OneCard, Facilities & Campus Services, Office of the University Registrar and other campus partners as needed in order to provide the best use of the software.
  • Manages third-party vendor relationships relevant to the space management system. Negotiates contracts and licenses and communicates user requests and organizational priorities to the vendor.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor's degree with five to seven years of related experience, or an equivalent combination of education and experience.
  • Ability to work collaboratively and strategically in a diverse team environment.
  • Knowledge of web design and development principles.
  • Experience in workflow analysis and business process improvement.
  • Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
  • Proven experience in leading a project team or participating as a leading member on a project team.
  • Ability to work independently, deal with demanding situations, multi-task, go above and beyond to ensure tasks or activities are completed on schedule; and work individually or as part of a cross-functional, multi-department/division team environment.
  • Strong analytical, diagnostic, and problem-solving skills.
  • Strong organizational skills.
  • Excellent interpersonal communication skills, verbal and written; initiative, flexibility, enthusiasm, and commitment to excellence in service.

Preferred Education, Knowledge, Skills, Abilities:

  • Knowledge of and experience with Event Management Software.
  • Experience in report writing (ERP report writing).
  • Experience with web-based applications for program management and social media.
