The Facilities Coordinator will support the Corporate Facilities Department. This dual-role position is responsible for managing a portfolio of residential rental properties and supporting the management and operations of the facilities department. This role involves coordinating tenant relations, leasing activities, and overseeing maintenance requests. The ideal candidate has excellent administrative skills, demonstrated proficiency with SAP, particularly for processing work orders, creating purchase orders, tracking maintenance activities, and handling financial data.

Responsibilities of Position:

Residential Rental Properties:



  • Manage a portfolio of residential rental properties throughout Ohio, Indiana, and Kentucky
  • Serve as the primary point of contact for tenant inquiries, service requests, and general property issues
  • Schedule and track maintenance and repair work; liaise with vendors and company facilities employees
  • Monitor rent collection
  • Coordinate lease agreements, move-ins/outs, inspections and lease renewals
  • Maintain accurate records of tenant information, lease documents, and property files
  • Ensure housing and safety standards are met in accordance with Company and regulatory requirements
  • Support budgeting and expense tracking for each property
  • Prepare property reports for management as needed
  • Coordinating utility bills (water/electric/trash)
  • Update and maintain property condition reports
  • All other duties as assigned



Facilities Support:



  • Administrative functions for the facilities department
  • Maintain maintenance logs, service records and compliance documents
  • Process Visa credit cards for department employees in Concur
  • Coordinate vendor communications, purchase orders, and service agreements
  • Identify, vet, and onboard new vendors and service providers across multiple geographic locations, ensuring coverage for all company-owned properties
  • Maintain a preferred vendor list
  • Work with Procurement and Accounting teams to set up new vendors in SAP
  • Enter and manage service requests, work orders, and purchase orders in SAP
  • Track maintenance costs and reconcile vendor invoices in SAP
  • Generate and maintain reports related to maintenance and rental properties financials in SAP
  • Collaborate with accounting and procurement teams to ensure proper cost tracking and budget alignment within SAP
  • All other duties as assigned



Skills & Abilities Needed for Position:



  • Excellent verbal and written communication skills
  • High level of organization, time management, and attention to detail
  • Great customer service and team management skills
  • Ability to work independently with minimal supervision



Experience & Knowledge Needed For Position:



  • Bachelors Degree in Business or related field preferred
  • 2+ years of experience in property management and/or office administration
  • Familiarity with residential property operations and lease management.



Physical Requirements in a Regular Workday:



  • Occasionally lifting/carrying/pushing/pulling a max of 10 lbs
  • Rarely lifting/carrying/pushing/pulling a max of 100 lbs
  • Frequently working outside in changing temperatures, wet/humid conditions
  • Frequently working in areas of dust, odors, mist, gases, and other airborne matter
  • Occasionally stooping/kneeling/crouching/crawling
  • Occasionally climbing and/or balancing
  • Frequently sitting/standing/walking



Additional Working Conditions/Aspects:



  • Possible exposure to high traffic conditions and/or tight driving areas
  • Exposure to residential and commercial waste
  • Ability to travel between offices, as required
  • Legally eligible to work in the United States
  • Valid driver's license (if applicable)
  • Must successfully complete pre-employment testing
  • Must be able to read and speak the English language
