The Opportunity The Assistant Director serves as a key resource for graduate and transfer students, providing guidance and support throughout the admissions process via phone, email, virtual meetings, and other platforms. This role requires in-depth knowledge of university programs, financial aid, international admissions standards, and institutional policies. Key responsibilities include:
- Responding promptly to prospective student inquiries and offering personalized support.
- Building and maintaining relationships with international consultants and college counselors to support recruitment efforts.
- Staying engaged with prospective students throughout the admissions cycle to ensure a seamless experience.
- Remaining informed on developments in the aviation industry and campus news that may impact enrollment.
- Assisting with data accuracy in the Transfer Portal and CRM systems, and supporting course equivalency reviews in coordination with the Office of the Registrar.
Application and Student Interaction
- Review and process student applications, rendering admissions decisions using systems such as Campus Solutions, Imaging, Workflow, and Salesforce/CRM.
- Assist applicants from various programs, including the English Language Institute (ERLI), Pathways (ERLI/Pathways, Accelerated/Combined/4+1), MS/PhD Tracks, Dual Master's, intra-university transfers, and students who have been dismissed or suspended.
- Respond promptly to inquiries and tasks related to graduate and transfer student applications.
- Provide comprehensive support through phone calls, both incoming and outgoing, to prospective, admitted, and non-admissible students.
- Conduct in-person and virtual counseling sessions with prospective students and families, offering guidance on the admissions process.
- Confirm eligibility and program details for MS/PhD applicants, including term availability, degree programs, minors, specializations, and key deadlines.
- Collaborate cross-functionally with departments such as Records, Financial Aid, ISSS, Advising, and others to facilitate smooth progression through the enrollment funnel.
Quality Assurance
- Ensure data accuracy across CRM and related systems by developing and executing audit reports.
- Monitor and maintain statistical data on prospective and applicant cohorts through regular file audits.
- Support the development and revision of transfer guides to ensure accurate and up-to-date information for prospective transfer students.
Event Assistance & Participation
- Represent the Office of Graduate and Transfer Admissions at key events such as Open House, Preview Day, and Orientation.
- Collaborate with graduate faculty to organize and coordinate ERAU Information Sessions for various programs.
- Actively participate in monthly departmental meetings to contribute to ongoing initiatives and updates.
- Assist with recruiting graduate and transfer students through online platforms, as well as at local and out-of-state recruitment fairs when needed.
Transfer Portal Back-Up
- Provide course equivalency assessments and academic degree information to prospective transfer students.
- Evaluate and verify transfer course credits to ensure accurate credit articulation.
- Develop and update transfer equivalency rules to facilitate seamless credit transfer for prospective students.
- Maintain and update Transfer Portal data as necessary to ensure accuracy and completeness.
