Gamma Vacuum, a member of the Atlas Copco Group, is seeking an Order Entry Specialist to join their dynamic team in Shakopee, Minnesota. As an Order Entry Specialist, you will play a vital role in facilitating the coherence of customer orders from inception through to delivery. Your expertise in accurately managing data in ERP systems will enable timely and effective service delivery. You will be the linchpin connecting various internal teams while ensuring that customer expectations and production timelines are consistently met



Essential Duties, Responsibilities, and Expectations


Your responsibilities will include but are not limited to the following:



  • Enter SAP sales orders accurately and promptly into the Gamma ERP system.
  • Review manufacturing capacity within the Gamma ERP and schedule jobs effectively to satisfy customer due dates based on lead time requirements.
  • Set promise dates in Gamma ERP and update the Material Availability Date (MAD) in SAP accordingly.
  • Monitor the Gamma website for new incoming orders and quote requests.
  • Communicate order status and delivery issues to the sales distribution network via email and conference calls as needed.
  • Collaborate with production management and manufacturing personnel to resolve job or delivery-related concerns.
  • Participate actively in weekly open sales order report reviews with the operations team.
  • Lead and participate in conference calls with the sales distribution network for escalations or issue resolution.
  • Notify operations leadership when guidance or intervention is required.
  • Schedule internal Gamma jobs based on weekly/monthly forecasts.
  • Coordinate with the supply chain buyer for custom or large-quantity product scheduling to ensure material availability.
  • Provide backup support for service/warranty order scheduling.
  • Work closely with the shipping manager to prevent or resolve SAP order processing issues.


Minimum Qualifications (Experience / Education)



  • A four-year degree is preferred but not required.
  • Experience in a manufacturing environment is preferred.
  • Must be authorized to work in the U.S.


Competencies // Knowledge, Skills, and Abilities (KSA's)



  • Planning experience is a plus.
  • Proficiency in Microsoft Office applications.
  • Working knowledge of ERP systems; SAP experience is an asset.
  • Strong computer literacy with the ability to learn new systems quickly.
  • Exceptional attention to detail with a strong ability to process and manage information accurately.
  • Self-motivated and proactive, demonstrating excellent planning and organizational skills.
  • Strong interpersonal and communication skills, exhibiting sensitivity to international and cross-cultural interactions.
  • Proven ability to collaborate effectively across departments and external partners.
  • Excellent written and verbal communication skills, essential for customer engagement and collaboration with sales teams.
