DESCRIPTION

Serves as the Executive Assistant to the Chair of the Academic Senate and the Director. Under the direction of the Director, provides high-level administrative support on a broad range of complex, sensitive, and confidential issues, requiring tact, diplomacy and discretion. Coordinates complex scheduling, meeting, event, and travel arrangements. Handles highly confidential correspondence. Processes purchasing, travel and facilities transactions. Maintains records management system for office files. Functions as primary Academic Senate contact for telephone or e-mail inquiries. Provides administrative support to Senate Analysts as needed. Manages content on Academic Senate website. Serves as unit safety coordinator.

QUALIFICATIONS
  • Demonstrated experience and proven ability to function at an executive administrative level and represent the University's best interests at all times.

  • Demonstrated ability to use discretion, exercise good judgment, and maintain strict confidentiality.

  • Excellent interpersonal communication skills including ability to communicate in a clear, concise manner with tact and diplomacy. Ability to communicate clearly and logically. Demonstrated experience in effectively communicating by telephone, in person, or in writing, with a diverse cross-section of individuals at all levels, inside and outside of the University.

  • Demonstrated writing skills. Excellent written communication skills with demonstrated ability to effectively compose, edit, and proofread letters, memoranda, agendas, and summary reports with clear and concise expression, proper grammar, style, format, and punctuation.

  • Ability to accurately and rapidly review and process a large volume of materials dealing with a broad spectrum of issues, and proven skill independently researching, compiling, organizing, interpreting and selecting data and materials from various sources.

  • Ability to handle several projects simultaneously on short deadlines, including coordinating the efforts of multiple contributors.

  • Good problem solving skills.

  • Experience coordinating meetings and events.

  • Experience working with committees.

  • Ability to work independently and as part of a team.

  • Experience with Microsoft Office products and general office equipment.

SPECIAL CONDITIONS
  • Job offer is contingent upon satisfactory clearance based on Background Check results.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $88,030 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $42.16

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
