Departmental Overview

University Development and Alumni Relations (UDAR) helps build Berkeley's excellence through communications, public outreach, and fundraising to raise public awareness about Berkeley and increase private philanthropy. UDAR provides overall direction for the campus's philanthropic advancement strategies and strengthens campus unit development in partnership with campus fundraisers. It handles a range of central activities and services encompassing prospect development, communications, donor stewardship, gift management, and more.

The Office of Gift Planning conducts and oversees gift planning fundraising for the entire campus. Working with hundreds of donors on a variety of outright, life income, and estate gifts and bequest commitments, each year the Office partners with colleagues across the campus on more than $120 million in gifts.

Responsibilities

The Gift Planning Coordinator implements specific plans for fundraising and alumni relations programs and activities. Working directly with the leadership team and at least one fundraiser, drafts and edits prospect and donor advisor correspondence, reviews and edits donor gift documents and fund terms, processes incoming gifts, and records new planned gift commitments. May research and draft bequest language for review and finalization by the fundraisers. The Gift Planning Coordinator assists fundraisers in tracking prospects and documenting strategies and moves. Creates and maintains reports using CADS and other databases; provides information regarding program trends and results; maintains OGP's internal metrics and reports data out to UDAR, campus, and larger philanthropic organizations; conducts basic research and/or analysis on information; assists in preparing support materials; administers prospect and donor stewardship programs and staffs or participates in prospect/donor events and activities, as assigned.

Planned Giving Administration

  • Check the OGP general online correspondence and incoming phone messages inquiries. Respond to inquiries directly or forward to the appropriate team member to respond or resolve.
  • Maintain and update solicitation plans, gift document templates, and OGP donor relations.
  • Reimburses principals and pays department bills, invoices, and subscriptions. Maintain OGP share drive, keep drive organized by archiving, updating, or deleting outdated materials/documents.
  • Process OGP gifts such as checks, bequest commitments, and other correspondence as needed, including hard mail, scanning, and processing.

Fundraising Coordination

  • Supports gift planning and fundraising efforts. Specifically supporting 1 to 2 fundraisers with fundraising efforts.
  • Create or edit donor communication for prospects/donors and donor advisors correspondence, reviews, and edit donor gift documentation, proposal letters, and fund terms.
  • Researches and prepares bequest language for fundraiser review, as needed.
  • Coordinates prospect/donor meetings and follow-up.
  • Manages donor contact reports and oversees prospect tracking and reporting.
  • Performs research and systematizes complex donor information. Prepares the fundraiser's annual metrics reports.

Leadership Support

  • Under general supervision, exercises limited discretion and professional judgment in implementing established components of gift planning leadership team fundraising efforts. Drafts and edits leadership team correspondence for prospects/donors, donor advisors, and internal constituencies.
  • Coordinates prospect/donor/internal meetings and follow-up. Coordinate and potentially draft meeting materials.
  • Develops and maintains quarterly, biannual, annual, and campaign management and fundraiser metric reports, providing basic analysis of program trends and short and long-range results.
  • Assists in the organization and implementation of office events and meetings. Maintains agendas, meeting notes, Zoom rooms, reserves physical rooms, and maintains OGP intake and goal logs.
  • Handles special projects/assignments involving direct interaction with alumni volunteers and donors.

Data Management

  • Liaison with Prospect Development on creating and closing OGP solicitation plans.
  • Assists in office administration, including complex data management.
  • Provide analysis and data of complex results and activities, for leadership review and consideration for program change or development of new programs as required.
  • Develops and maintains reports in Excel and a relational database. Monitors and documents program activities and results, which includes ensuring that all information related to this area of gift planning is accurately accounted for in Berkeley's systemwide donor database.
  • Administers, documents, and reports gift planning, prospecting, and donor stewardship program activities.
  • In partnership with one or more gift planning coordinators, manages gift planning prospect management systems as well as the gift planning module in CADS.
Required Qualifications

  • Minimum of one year of experience (or equivalent experience/training) applying working knowledge of fundraising, donor relations, and public relations concepts, principles, procedures, and techniques.
  • Working knowledge of a large complex organization, higher educational institution, or nonprofit organization, its vision, mission, goals, objectives, achievements, and infrastructure.
  • Working knowledge of or ability to quickly acquire knowledge of applicable laws, rules, regulations, policies, etc.
  • Excellent written and interpersonal communication skills to establish and maintain good working relationships throughout the organization and with outside constituencies.
  • Excellent organizational, analytical, and critical thinking skills.
  • Skills in maintaining confidentiality.

Education Level

  • Bachelor's degree in related area and / or equivalent experience / training

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted hourly range that the University reasonably expects to pay for this position is $38.31-$45.50 and is commensurate with experience, salary placement guidelines, and staff equity in UDAR and on the Berkeley campus.

  • This is a 100% full-time (40 hours per week), career position that is eligible for UC benefits.
  • This position is non-exempt and paid bi-monthly.
Other Information

  • This position is Bay Area-based and eligible for 50% remote work. Exact arrangements are determined in partnership with your supervisor to meet role responsibilities, department needs and travel expectations, and are subject to change.
