In your role as Document Controller you will:



  • Be responsible for the initiation and implementation of the document controls processes and procedures in accordance with the Contract, internal standards and guidelines.
  • Generate reports to FDOT (Florida Department of Transportation) and the FRA (Federal Railroad Administration) in reference to PTC (Positive Train Control) and other contractual reporting obligations.
  • Evaluate project schedule progress and performance and identify developing problem areas.
  • Distributes all documents received and incoming correspondence at the site or on the project in accordance with the project execution plan.
  • Develop and maintain documents such as meeting minutes, specifications, approvals and related items.
  • Maintain electronic filing system of other documents on servers, SharePoint, or other.
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying for management and Leadership.
  • Performs such other duties and responsibilities as may be assigned.


Qualifications:



  • Additional studies and/or certifications in the document administration or closely related field is a plus.
  • Previous experience as the document administrator.
  • Good oral and written communication skills.
  • Minimum of five (5) years administrative support experience.
  • Adept in Microsoft Office Suite programs, to include, PowerPoint, Word, Excel, Outlook, and Access.
  • Experience managing expense report and processing vendor invoices.
  • Adhere to strict confidentiality procedures.
  • Knowledge of Maximo or SAP.



Justification:

Pursuant to CFR 236 Subpart I, the Document Controller will be responsible for gathering, maintaining, and/or reporting of:





    • Employee training and testing records pursuant to *236.1043(b) and *236.1039(b).
    • Results of inspections and tests specified in the PTCSP and PTCDP must be recorded pursuant to *236.110.
    • A database of all safety-relevant hazards as set forth in the PTCSP and PTCDP.
    • Plans required for proper maintenance, repair, inspection, and testing of safety-critical PTC systems.
    • PTC Product Vendor Lists (PTCPVL).
    • Documentation demonstrating that the PTCSP and PTCDP meet the safety requirements of this subpart, including the risk assessment.
    • Results of inspections and tests specified in the PTCSP and PTCDP.
    • Plans required for proper maintenance, repair, inspection, and testing of safety-critical PTC systems.
    • Safety-relevant hazards that had not been previously identified in either PTCSP or PTCDP documents.
    • Annual report of system failures.
