Summary

The Electronic Services and Processing Lead is responsible for assisting the Manager in the running of production in Electronic Recording.

The Lead collaborates with the Manager to understand and support operational requirements of their respective assignments, provides direction, instructions, and guidance to their team, and communicates KPI metrics. Assess individual and overall KPI performance and reports to Manager. The Lead sets a good example, motivates, and inspires their team members.

Essential Functions

  • Distribution of work to team members.
  • Help with any filters on ElectronicRecord production queue when necessary to ensure orders are being submitted to the county for recording.
  • Ensure the documents that have problematic indexing specifications are handled.
  • Make certain the submission filter queue within Simplifile (vendor) site and entering of document indexes into this interface are handled.
  • Confirm the sending and receiving of CA portals, once token is obtained is handled and running correctly.
  • Ensure the sending of Client Prep orders are handled from start to finish.
  • Activate new Electronic Record Counties in eLink as they become available and maintain ongoing County data in eLink database as needed.
  • Track activated and deactivated counties to ensure we keep our percentage up.
  • Run production reports for the areas to prioritize and ensure Electronic Record and paper orders are moving through based on Client Service Level Agreements (SLA) or Internal SLA's.
  • Communicate clear instructions to assigned team members and creates a collaborative team environment that results in enhanced productivity and employee satisfaction.
  • Provide feedback on the team regarding overall and individual performance to the Manager.
  • Answer team member questions and helps with their problems, identifies training needs, provides coaching, and oversees team member work for quality and guideline compliance.
  • Recognize Reject trends so they can be addressed before it gets out or control or causes client upset.
  • Coordinate with Account Executives on escalated orders.
  • Coordinate with Set up to get Routing Form's for accounts that do not have one for all physical orders as well as other service types within the area.
  • Coordinate with Scrum Team as well as upper management to resolve issues within the system.

Education

High School Diploma or equivalent

Experience

  • One year's experience with NTC or in the Mortgage Industry.
  • Intermediate to advanced experience with running Reporting.

Working Conditions

Work is performed in a climate controlled indoor administrative office setting. The noise level in the work environment is usually quiet to moderate, depending upon the office or meeting location.

Physical Demands and Activities

While performing the duties of this job, the employee is occasionally required to communicate. The employee frequently is required to remain stationary. The employee is rarely required to move about the office, operate a computer and other office machinery, such as calculator, copy machine, and computer printer; rarely position self to maintain files; rarely moves boxes weighing up to 10 lbs. Close and distance observation required with ability to observe objects at close range in the presence of glare or bright lighting (e.g., computer screen). Must possess the ability to communicate information and ideas so others will understand and have the ability to interact with external and internal stakeholders.

NTC Non-Exempt Operations Position

The amount of work that needs to be accomplished to service the needs of NTC clients is subject to fluctuations. Due to these fluctuations, NTC may require its employees to move from an area where work is slower to an area where their services are more needed by NTC.

The willingness of personnel to assist in or move to other areas within NTC, when needed, is an important factor for the company to meet the needs of our clients.
