Job Title: Field Administrator
Job Summary: TheField Administrator will provide clerical support to the day-to-day tasks of the administration.
The position will require establishing strong relationships with our card holding employees, Treasury, Accounting, Payroll, Human Resources, and others.
Top-notch interpersonal skills, self-motivation, organizational skills, attention to detail are required. This is a fast-paced, reactive environment with evening and weekend work required on an as-needed basis. Your day-to-day schedule must be flexible.
Duties and Responsibilities:
- Serve as the liaison between Recruiting/HR and the Superintendent to support and ensure smooth onboarding and placement of new hires
- Manage electronic timekeeping system (Paycom)
- Monitor employee clock in/out punches and correct as needed in Paycom
- Communicate with employees and supervisor to ensure proper approvals are done and submitted to payroll by deadline
- Handle employee Expense Reimbursement which includes; verifying receipts, ensuring proper approvals are present and entering in VP1
- Enter PTO/Sick Leave Requests in Paycom
- Develop detailed training materials related to field administration.
- Accounting for daily job uploads, project costing, departmental, job numbers, task coding, and reconciliation of intercompany transactions.
- Assist others in monthly closings and job cost reporting.
- Filing, electronic and mail handling of correspondence storage.
- Prepares and maintains departmental and various card reports.
- While deployed, Provide general administrative assistance for Administration, including contracting, subcontracting, accounting, travel, etc.
- Interface with various Ceres managers and various subcontractors.
- Assist in all subcontracting tasks to include preparing weekly payment releases for subcontractors.
- File all contracting/subcontracting files appropriately.
- Maintain and coordinate several databases and tracking sheets.
- Perform clerical work as needed.
- Work on special projects when needed.
- Run offsite errands as needed.
- Other duties as assigned.
Essential Qualifications:
- HS or GED is required
- BS Business or Accounting preferred.
- Previous corporate credit card program experience. Comdata preferred.
- 1plus years of relevant experience.
- Accounting experience a plus.
- Exceptional written and verbal communication skills. Ability to relate with peers, management and internal customers.
- Knowledge of MS Word, Excel, Access, and Internet.
- Ability to strictly enforce and follow company policies and internal controls.
- High level analytical and problem solving skills.
- Must be detail oriented and customer focused
- Ability to work in team and independently.
- Adaptable to a fast-paced and rapidly changing environment while managing priorities and meeting deadlines.
- Experience working with a databases.
- Be able to multi task with many interruptions throughout the day
- Excellent organizational skills and be self-motivated to complete routine tasks
Desired Qualifications:
- Construction and job costing experience preferred.
- Experience with Microsoft Excel, pivot tables, reporting.
- Experience on Vista Viewpoint a plus.
Physical Demands: While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and reach with hands and arms. The employee is occasionally required to walk and talk or hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Work Environment: Moderate noise typical of an office setting such as computers, printers, phone, and light customer traffic.
