In this role, you'll support key business functions-ranging from recruiting and training to process development and data reporting-while ensuring seamless communication and program alignment across departments. Detail-oriented and proactiverole supporting the planning, execution, and administration of programs and initiatives. Provide high level programmatic development and support for multiple business functions in areas including but not limited to; personnel, training, team building, organizational process development, document control, metrics, reporting, and recruitment. Work closely with internal teams to ensure smooth operations, timely deliverables, and effective communication across all program activities ensuring business objectives are developed, documented and maintained in all performance areas. The Program Specialist is highly organized and has excellent communication, project management and people engagement skills to build relationships at Role Responsibilities
Drive process development with division stakeholders and project teams. Coordinate and facilitate communication between departments and stakeholders to ensure program alignment. Monitor, track and report program timelines, budgets, and deliverables Prepare regular status reports and dashboards for leadership. Maintain accurate records and databases related to program activities, participants, and objectives. Assist with scheduling meetings, preparing materials, and maintaining program documentation. Organize program-related events, workshops, and training sessions, including logistics and participant coordination. Identify and resolve operational issues that may impact program success. Ensure adherence to organizational policies, procedures, and regulatory requirements.
Provide document control for organizational process development. Assist in providing data for assigned metrics and reporting Take initiative and ownership over assigned projects and tasks Provide training to stakeholders on departmental process related actions and deliverables. Interface with business leadership to review and discuss programmatic progress and review status of assigned developmental objectives Planning, organization and coordination of the department's objectives. Assist with personnel recruiting, on-boarding, and training Organize and facilitate team building events Other duties as assigned
Qualifications
Career Level: Program Specialist - 1
Bachelor's degree in Business, Communications, Public Administration, or a related field. 2-4 years of experience in program coordination, project support, or administrative roles. Strong organizational and time-management skills. Excellent written and verbal communication abilities. Proficiency in Microsoft Office Suite and project management tools (e.g., Trello, Asana, Smartsheet). Ability to work independently and collaboratively in a fast-paced environment
Career Level: Program Specialist - 2 (Includes all of the above plus)
4-5 years of experience in program coordination, project support, or administrative roles. Basic Lien Sigma training Applies diversified knowledge of applicable principles and practices to a broad variety of assignments.
Career Level: Program Specialist - 3 (Includes all of the above plus)
Masters degree in Organizational Development or related field 6 plus years of experience in program coordination, project support, or administrative roles. Ability to provide wide variety of programmatic support across multiple business divisions.
