The Role

GovExec is seeking a Manager, Billing & Collections to join our team. The Billing & Collections team is leading the charge on bringing in-house a third-party outsourced finance and accounting service. In this role, you will be a critical player in invoicing, collections, and cash applications processes. As the Manager, Billing & Collections, you will report directly to the Senior Director, Billing & Collections.

Responsibilities

Invoicing

  • Generate, audit, and issue invoices on a weekly basis
  • Research and resolve invoice discrepancies or customer disputes in a timely and professional manner
  • Update customer contact and billing information as needed
  • Track client invoicing preferences and build streamlined processes for the receipt, processing, and communication of invoicing information
  • Work with accounting team to route invoicing requests, provide relevant information, and clarify request follow-ups
  • Communicate request status, provide relevant information, and answer questions for internal and external requestors
  • Monitor multiple billing inboxes, responding to clients in a timely manner

Collections

  • Ensure payments are received and applied in a timely manner in NetSuite
  • Maintain client relationships to ensure prompt resolution and payment
  • Proactively follow up with customers on any unpaid balances via email and phone
  • Fill out vendor forms and vendor applications as needed

Cash Application Process

  • Application of payments received across various business units
    • Chase bank accounts
    • Stripe credit card processing accounts
    • Lockbox and various physical check receipt locations
  • Coordinate unapplied credits balance and their subsequent application
  • Coordinate customer refunds, cancellations, and revisions to open receivables
  • Troubleshoot and clarify payment questions and issues with both internal and external stakeholders

Qualifications

  • Bachelor's degree in a related field with work or internship experience in accounting, business operations, or a related field
  • Strong organizational, communication and office skills
  • Proven ability to be concise, effective and productive
  • Exceptional work ethic-ability to proactively manage workload as well as perform well in a team environment
  • An engaged lifelong learner and acute listener
  • Software skills: Proficient use of Microsoft Excel, Gmail, Google Drive. Familiarity with NetSuite and Adbook, and/or invoicing platforms (such as Ariba, Coupa, etc...) is a plus.

The compensation range for this role is $70,000 to $80,000 per year.
