Job Summary:

The IS Project Coordinator plays a key role in supporting IS project managers and organization-wide initiatives by coordinating project activities, maintaining budgets and schedules, and managing equipment orders, inventory, and installations. This role works closely with project managers to develop plans, establish deadlines, delegate tasks, and monitor progress, proactively identifying and resolving issues to keep projects on track.

Responsibilities include organizing and participating in meetings, tracking action items, and ensuring timely resolution of issues. The Project Coordinator also explores opportunities to reduce costs, prepares status reports, provides administrative support, and serves as a primary point of contact for assigned projects. They work collaboratively with team members, IS, and MWHC leaders, with guidance from the project manager.

Essential Functions & Responsibilities:

  • Provides administrative and project support to IS Project Managers, including scheduling, document preparation, meeting coordination, contract and invoice review, and supply/equipment management.
  • Monitors project timelines, roadmaps, and milestones, providing regular updates to project managers and team members.
  • Communicates project status and issues to project managers; escalates barriers to appropriate leadership as needed.
  • Escalates barriers to the appropriate project manager or IS leadership.
  • Supports the formation and coordination of cross-functional project teams.
  • Creates and maintains project folders, databases, and documentation in accordance with MWHC tools and standards.
  • Maintains the IS PMO project reporting database and ensures accurate, up-to-date project documentation.
  • Ensure proper creation and maintenance of documentation using MWHC tools and processes.
  • Monitor timelines and roadmaps and provide updates to project manager and team.
  • Ensures project activities comply with MWHC policies and applicable regulatory requirements.
  • Stays current on healthcare industry trends, project management best practices, and project-specific developments.
  • Performs other duties as assigned.

Qualifications:

  • Working knowledge of computer applications, including Excel, Word, Outlook, Teams and PowerPoint required.
  • Associates degree or four (4) years of equivalent work experience is required.
  • Certified Associate in Project Management (CAPM) or Scrum Alliance CSM certification is required within one year of hire.
  • Minimum of one year of experience serving as a coordinator of project-related tasks is preferred.
  • Hospital or healthcare industry experience is preferred.
  • Experience working in a team-oriented environment, preferred.
