Job Description:
SUMMARY:
The purpose of the Intermediate Clerk (IC) depends on the departmental requirements listed under the essential job functions. This position is located in San Jose, CA.
ESSENTIAL FUNCTIONS:
Perform clerical duties as necessary to support the department. Create and manage electronic and paper files, including moving files to and from the storage area and scanning documents. Receive and distribute incoming mail, assemble correspondence for mailing or emailing, receive and transmit materials, collate and assemble documents using e-sign, and pdf applications. Prepare and keep up-to-date standard operating procedures for internal administrative work flow with input from internal team. Create Requisitions/Purchase Orders, change orders, pay invoices, and submit expense reports. Plan and coordinate departmental and retirement events and meetings including logistics, meals and keeping minutes.
MINIMUM QUALIFICATIONS:
An Intermediate Clerk must be able to effectively communicate with their supervisor, co-workers, and the public. Have the ability to perform mathematic functions to calculate figures, amounts, and fractions. The ability to read and comprehend simple instructions, short correspondence, memos, and the ability to write simple correspondence and to effectively present information in one-on-one and small group situations to managers, customers, and other employees is required. Employee must possess a high school diploma or equivalent. An Intermediate Clerk must have intermediate computer skills with additional understanding of how to navigate through databases, spreadsheets and must know the features of word processing programs (e.g., Microsoft Word. Excel, Nuance, Power Point) and electronic mail processing. Ability to generate reports, presentation slides, and general correspondence. Must have organizational skills to support filing paper and electronic files using established methods. An Intermediate Clerk must be able to work with minimal supervision and determine methods and sequencing of work following generally accepted work practices and guidelines. The job requires good communications skills to relay and receive information from various levels of the organization, and be able to communicate effectively. The ability to handle and prioritize routine tasks simultaneously to meet business demands and attention to detail is required. Ability to understand and follow oral and/or written policies, procedures and instructions. The position also must work organically with all business stakeholder groups ensuring harmony, cohesion and communication.
