JOB SUMMARY: This position reviews all submitted work authorization forms & Hot work tickets (Daily) and has the repair activity personnel correct to meet NAVSEA standard item for tag-out and system isolation requirements. The WAF coordinator is a liaison for guidance to Repair Activity & Sub-Contractors to Ships Force Personnel for government AIT Work. This position provides clerical support for the production department including basic correspondence, filing, and data input to spreadsheets for reports. This position submits employees for access to job sites, submits employee DBIDS requests, and prints, programs, and issues personnel access badges. This position also answers phone calls, relays messages, and greets visitors. Essential Functions:
- Review all submitted work authorization forms & hot work tickets and develop the same for all repair activities.
- Maintain daily WAF and Hot work logs during the repair availability and provide copies to Repair Activity department and Ship's Force.
- Send out the WAF and Hot work log schedule determined by Project Manager and any request by Ship's Force or others in a timely manner.
- Ensure all repair activities follow guidelines set forth by NAVSEA instructions and that safety of personnel and equipment is always maintained.
- Help schedule onboard work which has impact on other systems and/or work.
- Obtain approval from Ships Force for WAFs and Hot work tickets.
- Ensure ship systems tagout isolation are correct to ensure safety of personnel and equipment with help of Ships Force personnel.
- Ensure that all work authorization permits, hot work tickets and tag outs are completed as required.
- Help coordinate ECR subcontractor and government AIT work.
- Correctly fill out proper list to check in and out fire bottles and/or vests
- Maintain bottles and vests and track repaired bottles
- Be familiar with the site's evacuation routines and alarms
- Maintain constant vigilance while welders are working to prevent fire.
- Perform hourly walk throughs of ships to ensure firewatches are on station and have on proper gear.
- Provide general housekeeping duties such as the removal of industrial debris like sheet metal, steel plate, structured shapes, piping, cable ends, nut and bolts, spent welding wire, hardware and/or trash.
- Develop and maintain spreadsheets, documents, schedules, reports and databases.
- File or retrieve information as required.
- Assist with non-routine projects according to specific assignments.
- Submit employee DBIDS requests and requests for other credentials required for job site access
- Provide status updates on DBIDS and other credential requests
- Research and resolve DBIDS request issues as they arise
- Maintain master access lists
- Assist HR with scanning and filing paperwork and other projects assigned
- Performs other related duties as assigned by supervisor.
JOB REQUIREMENTS
QUALIFICATIONS:
- High School Diploma or Equivalent
- Five years of experience in ship repair industry or equivalent combination of Degree from Maritime institute and on job experience.
- Must have the ability to train others.
- Must be familiar with and knowledgeable of the Navy Tagout user manual (TUM) and Joint Fleet Maintenance Manual (JFMM).
- Must have good working knowledge of ship operating systems including how the isolation or energizing of one system affects other systems.
- Must be proficient in MS Office including Word, Excel, Projects, and Outlook.
- Must possess strong oral and written communication skills and be able to speak effectively in front of large groups of people.
- Must possess strong interpersonal skills and be able to effectively interact with the customer and personnel at all levels within the company.
- Must possess strong organizational skills.
- Must be trustworthy and responsible as position requires access to sensitive information.
- Must be able to work independently.
- Math skills must be strong, accurate and precise.
- Must be authorized to work in the United States.
- Must be able to gain access to military installations.
- Must successfully pass a drug screen and background investigation.
Physical Requirements:
- Ability to climb stairs on various naval ships.
- Ability to lift 50 pounds regularly and seek help with weights over 50 pounds.
- Ability to sit and/or stand for long periods of time.
While performing the duties of this job, the employee is to work weekend on request of the PM and work additional unscheduled hours on short notice to complete WAF or HOT Work tickets to turn over or closeout jobs. Employee may be required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs/vertical ladders; balance; stoop, kneel, crouch or crawl; talk or hear; taste or smell. Physical dexterity may be required when operating calculators, copiers, computers and/or other typical office equipment. This position may experience eye and muscle strain, backaches, headaches, and repetitive motion injuries from using computers on a daily basis and may have to sit for extended periods while reviewing detailed data. Environmental Conditions: WORKING CONDITIONS: Office and shipboard environment Duties of this job require the mobility to visit jobsites when required. This position works on the jobsite. There is exposure to hostile environments, loud noises, hazardous chemicals/fumes and airborne particles, smoke, extreme temperatures moving mechanically parts: high, precarious places. During work-site visits employee is required to to wear appropriate PPE including, but not limited to:
- Hard hats
- Ear plugs or attenuator
- Safely shoes
- Safety glasses
