HX5 is currently seeking an Administrative Support Specialist Senior,to support Command, Control, Communications, and Battle Management (C3BM) at Hanscom Air Force Base in Bedford, MA. The Administrative Support Specialist will provide Systems Engineering assistance that applies a broad theoretical and practical knowledge of system engineering to the acquisition process. The candidate will also provide engineering support in the design, operation, and sustainment of systems and components that cover tasks throughout the acquisition life cycle (requirements analysis through system disposal).
Command, Control, Communications, and Battle Management (C3BM) has been tasked with delivering an integrated Department of the Air Force (DAF) Battle Network providing resilient decision advantage and enabling the USAF, USSF, Joint, and Coalition Force to win against the pacing challenge. C3BM supports execution in many different focus areas. C3BM's main efforts are Architecture and Systems Engineering (ASE), Operational Response Team (ORT), and multiple mission integration teams such as Air, Maritime and multiple acquisitions consisting of both the Advanced Battle Management System (ABMS) and Space.
Essential Duties and Responsibilities:
- Ensures the leadership is kept informed of all issues of interest that relate to the mission of the directorate
- Monitors progress toward accomplishment of various taskings and initiatives. Provides support by supplying the information and background for the preparation of program events
- Drafts documents for the approval and signature of leadership
- Disseminates program policy and specific initiative guidance for members of the organization
- Coordinates, documents, monitors, and supports a variety of meetings and conferences to include, but not limited to, scheduling and set up of physical and virtual meetings and in support office staff and external participates
- Prepare background information and invite required meeting participants ensuring documentation of the meetings are filed IAW organizational policy
- Documentation may include but is not limited to attendance logs, minutes and/or action items with corresponding action officers
- Maintains scheduling documents and requirements for video and online conferencing set up and execution, which may include but is not limited to the maintenance logs on the equipment, the corresponding instructions on equipment set up, and meeting execution
- Prepare correspondence, reports, papers and briefings IAW applicable policies and templates
- Maintain appointment calendars and conference room schedules
- Answer telephones, forward messages, and provide responses to routine queries
- Assist with coordination, consolidation, analysis, distribution and monitoring of action items, suspense's and responses
- Provide inputs and recommendations regarding administrative and office management processes and procedures
- Assist with preparation of and updates to program office file management documents
- Prepare agendas, reports and briefings for staff meetings
- Assist Government with management of organization's workflow
- Assist with travel planning, travel arrangements and execution IAW with the Defense Travel Administrator's Manual utilizing the Defense Travel System
- Answer telephones, forward messages to appropriate Acquisition program team members, as required, and provide Government initiated/approved responses to routine queries
Education andExperience:
Must have one of the following combinations of education and experience:
- Master's or Doctorate Degree in a related field, and ten (10) years of relevant experience, and five (5) years of DoD experience.
- Bachelor's Degree in a related field, and twelve (12) years of years of relevant experience, and five (5) years of DoD experience.
- OR, 15 years of directly related experience and eight (8) years ofDoD experience.
Position Type/Expected Hours of Work:
This is a full-time position requiring 40 hours per week and offers a flexible work schedule Monday through Friday during core business hours.
Other Position Requirements:
- Proof of U.S. Citizenship or US Permanent Residency is a requirement for this position.
- Must be able to complete a U.S. government background investigation.
- Must have or be able to obtain a Top Secret clearance by date of hire.
- Must be able to travel, including air travel.
