Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Coordinator I for School of Arts and Sciences - Undergraduate Education department. The Program Coordinator I position for the SAS Office of Undergraduate Education provides high-level, confidential support to the Vice Dean, the Senior Associate Dean, and the Associate Director of Finance and Administration.
Among the key duties of this position are the following:

  • Implements priorities in managing Vice Dean's time and associated calendar management.
  • Drafts and prepares documents, coordinates travel arrangements and meeting preparations for the Vice Dean.
  • Prepares personnel-related transactions within the Office of Undergraduate Education.
  • Prepares financial-related transactions within the Office of Undergraduate Education.
  • Assists in day-to-day operations and works closely with Vice Dean and Associated Director of Finance and Administration for Undergraduate Education.
  • Works independently with minimal supervision, within established work parameters, with few direct instructions.
  • Carries out routine and non-routine tasks with occasional review of work outputs by supervisor.
  • Performs professional work that requires knowledge of general administrative/office management principles and practices and a good understanding, use, and application of concepts, theories, principles, practices, terminology, and applied bases of departmental administration.

Qualifications






Minimum Education and Experience

  • Bachelor's degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping and/or report writing.
  • A minimum of two years relevant experience in program coordination or administrative function, good communication skills, and computer literacy.

Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Strong MS Office skills including Excel, Access, Word, and Power Point.
Preferred Qualifications

  • Minimum of three years' experience in higher education setting.
  • A broad understanding of Rutgers University and SAS, academic departments, and student services, higher education practice and the responsibilities of an Office of Undergraduate
    Education.
  • Prior experience using SAS systems.

Equipment Utilized

  • Microsoft Office: Excel, Word and Power Point.
  • Microsoft Outlook Email/Calendar; Joomla, RU personnel and financial systems including payroll systems, absence recording, Oracle, and Tableau.

Physical Demands and Work Environment

  • Must be punctual and available during core business hours to meet student and Deans' needs.
  • This position must coordinate competing priorities.
  • Must be able to handle interruptions and quickly re-establish focus on multiple tasks at hand on a continual basis.

Special Conditions
  • Must be available to work some evenings and weekends each semester for SAS special events such as SAS Convocation, Rutgers Day, or other events requested by the Vice Dean or Associate Director.
