Posting Summary |
Rutgers, The State University of New Jersey is seeking a Senior Program Coordinator for
SAS - Chem & Chemical Biology. Reporting to the Assistant Director, Administrative Operations, and working closely with the Graduate Vice Chair, executes comprehensive planning and day-to-day administration of the program.
Among the key duties of the position are the following:
- Organizes and coordinates the graduate program for the Rutgers Department of Chemistry and Chemical Biology (CCB).
- Serves as an administrative program advisor to both prospective students and current students regarding a broad range of academic, financial, and international student issues.
- Collects, prepares and maintains various administrative documents, records and data for the program.
- Prepares reports as needed for internal and external stakeholders based on graduate student data. Participates in recruitment and networking activities.
- Coordinates fellowships, internships and similar opportunities for graduate student participation and support.
- Coordinates administrative aspects of recruiting, admissions and orientation.
- Provides backup support for general undergraduate program questions and engages in relevant departmental cross-training initiatives.

Qualifications
Minimum Education and Experience |
- Bachelor's degree and at least two (2) years of relevant experience in a program coordination or administrative function; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of program coordination, project management, data management and organization, report writing, and promotion/outreach.

- Experience in student support, recruitment, and admissions.
- Strong understanding of University operating procedures and academic operations.
- Ability to work in a dynamic, fast-paced, collaborative environment, performing multiple tasks, concurrently, amid frequent interruptions.
- Ability to learn new technology quickly.
- Experience working with/interacting with international students.
- Experience that demonstrates knowledge and understanding of program administration in an academic research setting.
- Current driver's license and vehicle to attend meetings, recruitment activities and other events on other Rutgers campuses.

- Proficiency in MS Word, Excel, Outlook and Power Point.
- Experience preferred with Rutgers University system applications such as purchasing, financial systems, Personnel systems (HCM), and in particular - IMS, Salesforce, Grad Offer Tracking, CSS, and REGIS.

Physical Demands and Work Environment |
- Sitting, standing, typing, video conferencing.
- Due to high-contact nature of the position, must be able to handle interruptions and quickly re-establish focus on multiple tasks at hand on a continual basis.
