Posting Summary
Rutgers, The State University of New Jersey, is seeking a Senior Program Coordinator for the School of Arts and Sciences - Dean's Office. Reporting to the Director of Alumni Relations and Engagement/Events, this position organizes, administers, and is responsible for multiple facets of programs, projects, and/or processes related to SAS events and alumni engagement.
Among the key duties of this position are the following:

  • Plans, prepares, evaluates, and control of communications, events, records, statistics, reports, and documents.
  • Works independently to prioritize work, resolve routine conflicts and issues, and prepare guidelines and procedures pertaining to the Alumni Relations and Event Planning team.
  • Initiates and coordinates the processes to secure personnel (both paid and volunteer) ensuring timely processing and compliance with SAS, university, State/Federal, and other policies and regulations.
  • Interprets agreements and ensures the accuracy of deliverables.
  • Leads and oversees projects with staff, students, and volunteers in programs/events; and in many cases will have an external focus for completion of successful initiatives.
  • Develops processes, evaluates program effectiveness, and identifies and recruits additional program resources.
  • Serves as liaison with School departments for many internal facing events that will require knowledge and guidance from event planner experience.
  • Needs to be able to help departments make important decisions to be successful in their events and outreach.
  • Works closely with the School's volunteer alumni group on various events and initiatives.
  • Carries out routine and semi-routine work within work parameters for the unit and with limited supervision.
  • Performs professional work that requires knowledge of high-level program coordination practices and the application and use of concepts, theories, and terminology of the organization.
  • Works consistent with an understanding of the mission, scope, vision, role, and goals of the Department of Communications, Events and Alumni Relations, School of Arts and Sciences, and the University.

Qualifications






Minimum Education and Experience

  • Bachelor's degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of coordination, organization, facilitation, report analysis, writing, and promotion/outreach.
  • A minimum of two (2) years of relevant experience in event planning, alumni relations, program coordination or administrative function, and computer literacy.

Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Excellent written and verbal communication skills.
  • The candidate must be able to work independently, creatively, and collaboratively while showing time management skills. T
  • he candidate must have excellent people skills and provide excellent customer service.
  • Computer literacy including proficiency in MS Office products including but not limited to Excel.
  • Familiarity and proficiency in University systems including, but not limited to, Cornerstone, Expense Management, Affinaquest, Email Concierge, Cvent and Joomla.

Preferred Qualifications

  • Prefers four years of relevant experience in event planning, alumni relations, program coordination or administrative function.
  • Excellent writing skills; graphic design; photography skills.
  • Experience with marketing and or public relations.
  • Experience creating website content and using a content management system to maintain a website.
  • University and/or higher education workplace experience.
  • Excellent people and communication skills.
  • Experience and comfort making public presentations.
  • Time management and ability to balance multiple projects at once.

Equipment Utilized
  • Cornerstone and Marketplace systems, Expense Reimbursement, ROCs, Cvent, Affinaquest and Joomla.
Physical Demands and Work Environment

  • Ability to lift and carry up to 25 lbs.
  • Ability to climb stairs. Ability to stand for long periods of time at events.
  • Ability to set up and clean up events- this may include carrying tables, supplies, catering, etc.
  • Valid driver's license and use of reliable transportation.

Special Conditions

  • Travel to all RU-NB campuses.
  • Occasional domestic travel.
  • May require international travel.
