Administrative Specialist II This is a 10-month, full-time (40 hrs/week), on-site W-2 contract role located in Shelbyville, IN.

This role combines administrative expertise with customer service focus, ensuring smooth execution of training programs, accurate reporting, and effective coordination across teams. Our Ideal Candidate
3-5+ years of administrative support or operations experience
Passion for organizational efficiency and training enablement with a strong foundation in reporting, scheduling, and process coordination
Proficient in Microsoft Office Suite (Excel Power User, Word, Outlook, PowerPoint, Teams) and familiar with Power BI
Comfortable with Learning Management Systems (LMS) and record-keeping platforms (SharePoint, third-party systems, etc.)
Skilled in collaborating with trainers, employees, vendors, and cross-functional partners
Able to balance independent work with team coordination, meeting deadlines with minimal supervision
Flexible and adaptable to shifting needs, with excellent attention to detail and problem-solving skills
Strong written and verbal communication, including grammar checking and professional correspondence
Job Description
In this role, you will manage a wide range of administrative and training support activities, including scheduling classes, maintaining training calendars, processing invoices, onboarding new hires, and coordinating supplies and logistics.
You'll partner with trainers, vendors, and internal teams to plan, prepare, and execute training programs-from orientation to specialized classes-while ensuring compliance with regulatory and corporate requirements.
You will also support learning systems administration, track certifications, audit training data, and produce reports that identify trends, highlight gaps, and guide organizational decision-making. Key responsibilities include:
Running, tracking, and submitting reports
Creating and maintaining classes in the LMS and managing Excel-based training calendars
Supporting new hire orientation and onboarding processes
Ordering and coordinating meals, office supplies, and training materials
Managing training correspondence and departmental email
Tracking veterans benefits and supporting MyLearning assignments
Coordinating IT support and maintaining facility requests
Participating in special projects, committees, and peer teams
Education and Experience
Bachelor's degree preferred, or equivalent experience
Strong administrative background with demonstrated ability to manage multiple systems and workflows
Experience with LMS platforms, compliance tracking, and corporate reporting a plus
The pay for this W-2 position ranges from $21.50 - $22.98 per hour. This position may be eligible for PTO, health and dental insurance, and/or 401(k) benefits upon meeting certain length of service and hours requirements.
