General Notes

Assistant or Associate Director may be offered based on the candidate that is hired. Additional hours will be required to include early mornings, evenings, weekends, and holidays. Travel will be required. This job is not suitable for remote work and is expected to work regular on-site hours.

Purpose

Develop and implement strategies to engage former student-athletes, fostering their ongoing involvement with the T-Association and strengthening their connection to the University.

Responsibilities

  • Oversee the planning, management and implementation of T-Association sport alumni engagement events, programming and initiatives with the goal of enhancing overall letterwinner engagement including, but not limited to, mentoring, professional and alumni networking, job shadowing, internships and externships.

  • Oversee coordination of gameday staff as needed for letterwinner game day hospitality and coordinate with internal staff for in game recognitions involving sport alumni. Provide direct oversight and guidance to employees (including student workers, interns or part-time staff), ensuring they understand their roles and responsibilities. Monitor and evaluate employee performance, providing regular feedback to support continuous improvement and professional growth. Develop and implement training programs to enhance employees' skills and knowledge, ensuring they are well-equipped to perform their duties.

  • Work with Longhorn Foundation Events team to oversee the planning and coordination of signature events for letterwinners and current student-athletes, including Texas Athletics' Hall of Honor, student-athlete graduation, national championship celebrations, Olympian related events and sport specific reunions. Maintain a calendar of events for sport alumni across all sports. Work with Longhorn Foundation Events team to oversee planning and management of events related to honoring and recognizing letter award and T-Ring recipients.

  • Oversee creation, implementation, recruitment and tracking of alumni volunteer support activities for T-Association including mentoring, career, professional networking, sport alumni advisory council and football gameday hospitality. Maintain and update applicable alumni professional database with contact information, position/occupation and company or organization whenever possible. Budget management including, but not limited to, signature events, sport alumni volunteer recruitment and stewardship of alumni involved in T-Association.

  • Manage online, social media and web-based platforms to enhance letterwinner engagement, communication and participation in T-Association programs (e.g. LinkedIn, Facebook, Twitter, et al.) including Texas Athletics' content, jobs, alumni profiles, upcoming job fairs, panels or other sport alumni events.

  • Provide leadership support for Texas Athletics Hall of Honor and other student-athlete award nominations, selections and voting processes.

  • Work with T-Association staff to oversee tracking and verification of student-athlete lettering and the ordering and distribution of letter awards to student-athletes and T-Rings recipients.

  • Collaborate with other departments and stakeholders to coordinate and execute internal events, including but not limited to 4EVER TEXAS, Student Services, Facilities, Human Resources and Risk Management and Compliance Services.

  • Other related functions as assigned. Drive a UT or rental vehicle on and off campus.

  • Consistently exemplify the core values and quality service standards of Texas Athletics. Always act ethically. Proactively seek guidance when unsure or unclear of a law, rule or policy applicable to you or your department/sport program. Actively participate in assigned education and training programs. Comply with all laws, policies, rules and regulations set forth by the Board of Regents of The University of Texas System, The University of Texas at Austin, NCAA, Conference, or other governing body, including state and federal laws. Annually obtain prior written approval and report all outside activities and outside income. Report knowledge of, or reasonable cause to believe, violation(s) of state or federal laws, policies, rules, or regulations of the University, Conference, or NCAA to IA ARMCS or IA HR. Fully cooperate with any investigation by providing complete and accurate information when requested to do so by Texas Athletics and/or the NCAA and do not influence others in any way during an investigation. Required Qualifications

Bachelor's degree. Two years of experience planning and executing events and leading donor relations or stewardship efforts for a non-profit or higher education institution, or related field. Strong organizational skills and attention to detail, along with a demonstrated ability to proactively think critically, oversee complex events and projects, exercise independent judgement, and balance concurrent priorities. Ability to be flexible when confronted with a multitude of priorities, events, requests, and situations. Ability to work in a team environment where a project's success is determined by both the individual and team's efforts. Excellent communications skills, verbal and written. Intermediate to advanced proficiency with Microsoft Office software.Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Five years of experience planning and executing events and leading donor relations or stewardship efforts for a non-profit or higher education institution, or related field. Experience planning and executing events for an intercollegiate athletics program. Supervisory or management experience. Experience with budget management and vendor contract management. Familiarity with Texas Development and/or Texas Athletics internal and external constituents.

Driving Required

This job requires a class "C" operator's driver's license. The applicant selected must provide a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).
