Job Summary
The Department of Internal Medicine is the largest department in the School of Medicine, with 13 subspecialty divisions. This position is responsible for managing the Fellowship and Educational Programs for the Division of Infectious Diseases, as well as supporting special projects under the supervision of the Division Manager.
Primary responsibilities include overseeing the recruitment, academic administration, and evaluation of activities for both ACGME accredited and non-ACGME fellowship programs, coordination of fourth-year medical student course work third year clerkship activities; support for division conferences and seminars, and planning of special events. Additional duties include project and financial management. This position also provides administrative support for research, teaching, and clinical activities of fellows, staff and faculty. - Bachelor's degree in a related field and/or a combination of experience, education and/or training
- Several years of previous experience in a similar role/setting required.
- Ability, skill and proficiency with PC, Windows, Word, Excel (or similar spreadsheet programs), PowerPoint, Outlook (or equivalent), Medhub, Thalamus, MyInfoVault (MIV), lightning bolt, and other programs, as needed.
- Skills to organize various projects and to establish priorities to complete tasks on a timely basis.
- Ability to complete tasks accurately, neatly, and quickly under pressure of deadlines.
- Ability to successfully manage multiple assignments simultaneously, amidst frequent interruptions.
- Analytical skills to independently assume responsibility for coordination and completion of complex projects requiring interactions with many individuals.
- Skill, knowledge and ability to utilize tact, diplomacy, patience and courtesy in dealing with a wide variety of individuals and to interact harmoniously and positively at all times.
- Verbal communication skills to effectively screen visitors and callers, answer questions, resolve problems, or direct to appropriate resource.

- Skills, knowledge and ability to prepare travel and entertainment expense reimbursement requests following University Policies and Procedures.
- Ability to maintain confidentiality, exercise independent and mature judgment and discretion relating to sensitive department/division matters and comply with University policy regarding all patient information while committing to excellence.
- Mathematical skills to perform calculations and verify results for accuracy.
- Basic analytical skills to review financial documents, and develop financial and accounting reports using Excel.
- Ability to work independently or as part of a team and make decisions under general supervisory management direction.
- Ability to organize, update, and maintain documents for easy retrieval.
Preferred Qualifications
- A working knowledge of ACGME requirements, ABPMR requirements, state licensing regulations and codes, ECFMG guidelines, University administrative personnel policies and procedures relevant to collective bargaining agreements, affiliation agreements, affirmative action and health/safety guidelines pertaining to the residency program.
- Administrative skills to plan, organize, and direct multiple simultaneous activities for the residency, fellowship, and student programs at UCDHS and affiliated training sites.
