DESCRIPTION
Under general supervision, the Clinical Care Coordinator provides high-level administrative and clinical support to Oncology Surgeons and Advanced Practice Providers in the GI Surgical Oncology division. This role is essential in managing complex scheduling, coordinating multidisciplinary care, and serving as the primary liaison between patients, providers, and clinical teams. Key Responsibilities
Faculty Support: Manage and maintain complex calendars, coordinate travel, and process reimbursements. Prepare and distribute clinic notes, medical records, and correspondence. Patient Coordination: Register and triage new patient referrals, schedule new patient consultations and return visits, collect outside records, and assist patients with financial arrangements. Surgical Scheduling: Coordinate logistics across multiple departments (OR schedulers, anesthesia, admissions, pre-op clinics) to schedule and coordinate surgical procedures including co-cases. Communicate surgery details to patients and families, and ensure accurate documentation in UCSD systems. Tumor Board Management: Organize and facilitate weekly General Tumor Boards, including:
- Collecting and compiling pathology reports, slides, and imaging from internal and external sources.
- Preparing case materials for review by Pathology and Radiology.
- Scheduling meetings, maintaining historical case records, and distributing meeting minutes.
Collaboration & Communication: Serve as a key contact for faculty, clinic staff, administrators, and internal and external resources.
MINIMUM QUALIFICATIONS
Three (3) years of related experience. Experience working in a large, complex healthcare setting. Must have experience working with health insurance companies and community medical groups. Knowledge of scheduling medical appointments, surgical procedures, and authorization processes. Demonstrated knowledge and advanced-level skill in work processing software applications (Word, Excel & PowerPoint), and Electronic Medical Record (EMR). Proven ability to interact well with care teams and all patients and families. Ability to multitask efficiently in a dynamic, fast-paced environment. Excellent ability to communicate both orally and in writing. Excellent customer service skills.
PREFERRED QUALIFICATIONS
Prior Oncology experience. Experience with EPIC EHR system, including Cadence. Experience in supporting physician faculty travel, reimbursements, and calendar management. Knowledge of medical/scientific terminology. Knowledge of authorizations, various insurance products, and third-party payors.
SPECIAL CONDITIONS
Pay Transparency Act Annual Full Pay Range: $40,700 - $88,030 (will be prorated if the appointment percentage is less than 100%) Hourly Equivalent: $19.49 - $42.16 Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
