Role Summary

In this role you will support the administrative needs of the Legal Org's Chief Litigation Counsel, Head of Labor & Employment, and Chief Intellectual Property Counsel; your responsibilities will be split between supporting the overall teams' needs. This role reports to the Sr. Leadership Administrative Business Partner within Legal. Primary office location will be the Palo Alto office.


Responsibilities

  • Litigation:
    • Daily calendar management, scheduling and coordinating meeting logistics for the Chief Litigation Counsel and alendar management for Senior Litigation Leadership, as needed
    • Lead and work on special projects as defined by the Chief Litigation Counsel
    • Draft reports, letters, Google-spreadsheets; assist with proofreading and formatting
    • Prepare Google Slide presentations that can be presented to multiple audiences
    • Prepare meeting summaries and keep track of accomplishments for the team
    • Route documents and contracts for signature via Box, IronClad and various other platforms
    • Interface with staff from governmental agencies and outside councils' offices on administrative functions
    • Track various Purchase Orders (PO) or licenses as needed for the Litigation team, including tracking and submitting PO renewals
    • Plan and support team off site meetings
      Assist with expense reports, as needed
  • Labor & Employment:
    • Manage various administrative aspects of the Labor & Employment team, including onboarding legal vendors, responding to law firm inquiries, and routing inquiries to the correct investigating-escalations team.
    • Audit/track the company-wide Labor poster project.
    • File documents and organize team mail
    • Coordinate mailings, including international shipments
    • Assist with expense reports, as needed
    • Calendar management, scheduling and coordinating meetings for Labor & Employment leadership, as needed, including daily support for the Head of Labor & Employment
    • Other support tasks, based on skill level and experience
  • Intellectual Property:
    • Manage various administrative aspects of the Intellectual Property team, including collecting and filing IP Certificates
    • Coordinate mailings, including international shipments
    • Assist with expense reports, as needed
    • Calendar management, scheduling and coordinating meetings for IP Leadership, as needed, including daily support for the Chief Intellectual Property Counsel

Qualifications

  • Bachelor's degree or equivalent experience required
  • Advanced Google-suite skills, including Google Sheets and Slides, plus an ability to become familiar with Company and/or task specific programs and software
  • Familiarity with or at least a desire to learn, SimpleLegal and IronClad.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Highly organized and able to prioritize under pressure
  • Positive attitude and strong business acumen
  • Ability to operate independently with a strong sense of self-motivation and a "get-it-done" attitude.
  • Ability to multi-task in a fast-paced environment
  • Ability to anticipate and accommodate last minute changes
  • Experience working with and handling highly sensitive information (including PSI)

Pay Disclosure

Salary Range for Palo Alto, CA based applicants: $84,000 - $105,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).

Benefits Summary: Rivian provides robust medical/Rx, dental and vision insurance packages for full-time and part-time employees, their spouse or domestic partner, and children up to age 26. Full Time Employee coverage is effective on the first day of employment. Part-Time employee coverage is effective the first of the month following 90 days of employment.
