Job Overview:

Under the direction of the Manager, the Operating Room Booking Clerk is responsible for the daily scheduling of surgical cases according to the policies of the department.

Qualifications:

Required:

  • High School Diploma
  • Previous scheduling background, computer literacy, knowledge of medical terminology

Preferred:

  • College Graduate preferred

Scheduling Requirements

Essential Functions:

  • Accurately documents surgical procedures on admitting log sheet and delivers to appropriate departments at the end of shift.
  • Accurately schedules the surgical procedures as indicated by surgeons, indicating date, procedure, diagnosis, time, equipment, and supplies needed as well as type of admission and amount of time needed, and forwards information to OR management staff.
  • Accurately transcribes the surgical procedures for the following day on to a typed schedule.
  • Indicates the request for anesthesiologists.
  • Always communicate booking problems to the Coordinator or Nurse Manager promptly; ask questions to clarify misunderstandings; request assistance from appropriate personnel in the event of an unusual or difficult situation;
  • Demonstrates a high degree of accuracy and attention to detail at all times.
  • Demonstrates the ability to rearrange cases when there is a cancellation or rebooking to always provide first come, first serve philosophy of the OR booking office.
  • Demonstrates an awareness of the Booking Clerk's importance in contributing to an efficient coordination of the surgical schedule.
  • Demonstrates competence in functioning as a booking clerk in the operating room and communicating with physicians, ancillary departments, and visitors,
  • Maintains a clean and hazard-free workstation at all times.
  • Properly orients new personnel when requested.
  • Routinely prepares operating room schedule by 1200PM the day prior to surgery.
  • Initiates preop phone calls with instructions for the day of surgery, obtains lab reports, H&P, etc. via use of SMS, and Reviews POP checklist for completion:
  • Assignment sheets and OR schedule, Bulletin boards, SDS processes, reporting unusual occurrences and patient flow.
  • Calling for patients, maintaining schedule, control traffic, ordering supplies, chart preparation and SDS worksheet.
  • Consistently completes all activities during the assigned shift without interference in the quality of the work performed.
  • Consistently demonstrates an ability to set appropriate priorities in the functions in an organized and time-conscious manner.
  • Demonstrates an ability to perform in an accurate and precise manner in crisis and emergency situations when time is essential
  • Cross train to OR: Create requisitions for IT issues, Resource for Bridge/net learning.
  • Assist with data for Surgical Care committee, chart checks, IOL ordering, for OR if applicable. Create par levels and PI data collection.
  • Consistently strives to maintain good harmonious relationships and positive attitudes among the staff; promotes good group morale within the department.
  • Coordinate the notification to physician's offices on any abnormalities, instructs the coordinator of faxing to be done, and enters POP orders on day of POP.
  • Respects the patient's privacy and confidentiality at all times.
  • SDS printing of charts for the next day maintenance of the Smart Board.
  • Assists with the charging system and Cross trained to perform the duties of POP Unit Co-coordinator.
  • Performs additional assignments as needed.
