***This position is a Fully Onsite position based out of our Ontario, CA Office.***

About the role:

The Front Desk Coordinator is responsible for greeting visitors at the front desk, provides administrative support to multiple departments, and oversees supply inventory in a small office environment. This is the "first perception" for the office.

In this role, you will:

  • Picking up and delivering daily mail, overnight mail, FedX preparation, courier arrangements, preparing packages for mailing - use discretion in selecting the most cost-effective but timely service

  • Communicate with copier vendors and internal IT to ensure copiers functionality

  • Mailing projects, both in-house and outsourced (pulling lists, research & update mailing lists, merge letters, printing letters/labels, posting, etc.)

  • Take initiative to offer assistance to others whenever possible

  • Kitchen, conference room and lobby cleanup & maintenance

  • Monitor & submit office & kitchen supply orders

  • Offers assistance to the office as time allows; may also offer phone back-up to Seattle office at times

  • Assist with conducting research to support the selling efforts of assigned brokers

  • Create property marketing flyers from template (Adobe InDesign)

  • Prepare in-house proposals and sales presentations from template (Adobe InDesign)

  • Create property tour packages with property locations map

  • Bind pitch and proposal packages

  • Word processing for correspondence, agreements and reports

What you bring:

  • 1+ year Office Reception experience or a similar role.

  • Must have high level of interpersonal skills to handle a variety of situations. Position requires demonstrated poise, tact and diplomacy with brokers and clients.

  • Shows dedication by demonstrating respect, trust, honesty, integrity and ethical behavior

  • Must adhere to company policies and procedures, takes responsibility for actions.

  • Must be able to interact and communicate with individuals at all levels of the organization

Pursuant to the laws regarding job postings where the position is located in, Colliers is disclosing the following information:

Approximate Hourly Range for Role: $23.00 to $25.00

Our hourly ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
