Job Summary

The Student Services Specialist plays a key role in supporting student success within a learning college environment. This position provides one-stop student service enrollment functions to both new and continuing students on the front line, supporting admissions, records, registration, testing, advising, financial aid, veterans, international student referrals, and other related enrollment services. Serving as a frontline resource, the Student Services Specialist ensures a positive and supportive experience for students navigating college processes.

Essential Functions

35% - Assists students with all aspects of the enrollment process. Reviews and processes student applications for accuracy and completeness and requests additional information when needed. Performs online data entry, including processing documents for admission, records, and registration. Assists new and continuing students in all student services processes for admissions, placement testing, registration, academic and financial aid probation/suspension status, veteran services, international education programs, career services, students needing special assistance, transfer requirements, and corresponds with students to resolve problems related to student services functions.

35% - Responds to student requests for official/unofficial transcripts and enrollment verifications; reviews and determines residency/lawful presence/identification authorization; and works clean up reports. Answers incoming telephone inquiries; makes outgoing telephone calls and sends texts; provides admission and registration support in person; and responds to IMs, emails, texts, USPS mail, and online requests. Processes documents/requests using Dynamic forms for residency, domiciles, student information forms, etc., along with processing Online Class Permissions.

10% - Assists with special enrollments for dual, ACE, HOOP, Bear Trax, Phoenix Indian Academy, Life Development, third-party, etc., including processing of documents and presenting information to interest groups. Performs other Admissions, Registration & Records processes and prepares records for permanent storage and/or disposal.

10% - Gathers and compiles statistical enrollment information and/or other student services functions for departmental decision making and sharing enrollment activities to address government reporting and the needs of the campus and District. Updates student records as required following guidelines and applicable laws, policies, rules, and regulations.

10% - Working in a team environment, assists in training staff in the student services areas; directs the work of student and temporary workers; assists with duties in the evenings as needed; serves on cross-functional committees; provides backup support to One Stop support staff in the Welcome and Contact Center; and performs other related duties as assigned.

Minimum Qualifications

Associate's Degree from a regionally accredited institution in business administration, education or directly related field, and one (1) year of experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications
  • One (1) or more year's experience working in a higher education environment such as admissions, records and/or registration or equivalent
  • One (1) or more year's customer service experience with high degree of public contact
  • One (1) or more year's working with a culturally diverse student population
  • One (1) or more year's experience working with Microsoft Office Suite or similar product
  • One (1) or more year's of experience working with student services systems including online Student Information System (SIS) (e.g., PeopleSoft), Customer Relationship Management (CRM), Qless tracking system, or other-related systems
  • One (1) or more year's experience working in a team environment


Special Working Conditions
  • MCCCD does not sponsor individuals for any type of work visa.
  • Will be required to travel or be assigned to all MCCCD locations
  • May require prolonged periods of viewing a computer screen
  • May be required to lift or carry up to #25 lbs
