This position is located on the Rockford campus 90 miles northwest of Chicago. (On-Site Work - Not Remote).

Position Summary
This position will manage student affairs, admission related and recruitment activities, and the research project for the Masters in Medical Biotechnology program. This position develops and implements student affairs programs ensuring that students are provided information and given access to university resources and programs to assist them in being successful during their educational program.

Duties & Responsibilities

  • Manage the day-to-day tasks related to program recruitment, which include communicating with prospective applicants and guiding them through the application process, planning and engaging in outreach activities designed to recruit and retain targeted student populations, and participating in recruitment fairs.
  • Assist incoming students in relocating to the Rockford area by providing resources for housing, travel to Rockford, and assisting international students with banking and other necessary resources.
  • Maintain records related to the MS Research Project and Internships. Schedule all proposals, reviews and final defenses.
  • Assist with the review and formatting of submitted research proposals and final reports. Conduct course reviews at the end of each semester.
  • Coordinate research conference participation for MBT students, facilitate the printing of posters, communicate guidelines or deadlines, coordinate travel and lodging, and assist with travel award applications and provide other resources as requested.
  • Plan and implement student affairs activities and outings, including orientation activities, commencement, and other special activities as assigned.
  • Support MBT student organizations by encouraging student participation and attending events related to the academic, community, career, and professional development of students.
  • Review and maintain content on MBT websites and social media platforms with the assistance of the Office of Communications.
  • Maintain program databases, contact lists, and access to other university resources for students, faculty, staff, alumni, and program partners.
  • Support the Director in preparing Completion of Studies and program extensions for international students and preparing documents required by scholarship awarding organizations.
  • Provide back-up support for purchasing supplies and services needed for the MBT program using the appropriate university systems and following purchasing guidelines. Assist in the reconciliation and monitoring of program and student fee expenditures.
  • Serve on standing or ad hoc committees for the program and graduate school as needed.
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications

    • Bachelor's degree in business management, education, biomedical sciences, or a related field.
    • Experience with administrative operations such as records management, data entry, auditing, and reporting.


    Preferred Qualifications
    • Working knowledge of university/college academic and financial aid policies.
    • Proficiency in Microsoft Office Suite, Blackboard.
    • Ability to work with diverse populations, with the ability to demonstrate an awareness and sensitivity to socio-ethnic and cultural communication styles.
    • Strong organizational skills, with demonstrated ability to plan and execute academic or professional events.
    • Excellent written and verbal communication skills, including the ability to prepare professional correspondence and event materials.
    • Ability to foster networking opportunities among students, faculty, mentors, and external stakeholders.
    • Familiarity with data analytics and marketing in a professional setting.
