Job Overview:

The Clerical Coordinator plays a pivotal role in ensuring seamless administrative and operational support within the Radiology department. This position requires advanced organizational skills the ability to oversee complex workflows and the aptitude to drive operational excellence. The coordinator serves as the primary liaison between clinical staff, management, and external stakeholders, ensuring accurate billing, efficient scheduling, and registrations are in compliance with departmental standards. Key responsibilities include data analytics, staff training, and departmental operations, with a strong emphasis on optimizing the patient experience and supporting cardiac imaging professionals.

Qualifications:

Required:

  • High School Diploma or Equivalent
  • 3 Years of prior scheduling and registration experience in a Healthcare Setting
  • Minimum of 2 years in an administrative or coordinator role within a healthcare setting
  • Exceptional communication and interpersonal skills to effectively interact with diverse teams and stakeholders
  • Successful completion of all Orientation Programs

Preferred:

  • Bachelor's degree in Healthcare Administration, Business Management, or a related field, or equivalent experience
  • Epic EMR experience
  • Strong analytical skills with experience in data reporting and workflow optimization
  • Familiarity with medical imaging software
  • Knowledge of regulatory standards and compliance requirements

Scheduling Requirements:

  • Working Shift: Monday - Friday
  • Day Shift: 9:00AM-5:00PM
  • Full-Time, 37.5 Hours Per Week

Essential Functions:

Billing & Revenue Cycle Support

  • Oversee and reconcile billing workflows, addressing charge errors and unposted logs to ensure timely revenue generation
  • Monitor work queues for billing discrepancies, resolving issues to improve overall departmental efficiency
  • Supports departmental policies, practices, and initiatives in support of patient experience, throughput, safety standards and revenue cycle outcomes,
  • Functions include scheduling of all imaging testing, insurance verification, preregistrations accuracy review, receptionist duties, and act as a liaison for clinical staff
  • Accurately enter all demographic/insurance information
  • Answers phones in a professional, friendly manner
  • Assists patients with special needs / accommodations
  • Instructs patients on exam preparations
  • Order supplies; organizes, stocks and maintains the waiting room
  • Informs patient of possible financial responsibility in accordance with OON requirements
  • Collaborates, communicates and coordinates to create a positive experience through the entire Radiology Imaging Support Services workflow

Operational Oversight

  • Manage the scheduling of the imaging department and ensure adherence to operational standards for patient readiness and room availability
  • Provide guidance and support to the clerical support team
  • Provide coverage for clerical staff during high-volume periods and assist with managing staff time-off requests and monthly schedules

Training & Development

  • Deliver comprehensive training for clerical staff to enhance scheduling accuracy, and patient service skills
  • Assist with providing ongoing education to ensure team adherence to updated protocols and compliance requirements
  • Data Analytics & Process Improvement
  • Analyze workflow and billing trends, recommending data-driven strategies to improve departmental efficiency
  • Monitor and evaluate operational processes to ensure alignment with organizational goals and best practices
