Performs scheduling function in a high volume fully computerized environment. Acts as a professional liaison for staff, other hospital personnel, medical staff, and physicians' offices. Requires intimate knowledge of radiological or rehabilitation procedures, exam preparations, exam sequencing and other related functions within radiology; or required referrals and knowledge of caveats to all rehabilitation appointments types, specialties and coordination of care. Additional skills required include typing, strong customer service and problem solving.
- Demonstrated knowledge of Medical terminology
- Three (3) years previous medical related clerical experience or an associate's degree
- Demonstrated organizational and communication/customer service skills
- Demonstrated knowledge and skill in utilization of computer application
- Demonstrated problem-solving skills
- Previous experience as a Scheduler II or Scheduler/Secretary
PREFERRED
- Previous experience in hospital/medical office scheduling environment.
- Demonstrated knowledge and skill in the use of the computerized scheduling system
- Associate Degree
- Experience interfacing with physician offices, other organization departments, and third party payers.
- Demonstrated ability to effectively communicate with individuals in all levels of responsibility.
- Ability to work independently.
- Prior experience in insurance precertification.
- Demonstrates knowledge of and scheduling of all appointment types (Gestational Diabetes, Medical Nutrition Therapy, and Diabetes Self-Management Training classes) in a timely manner.
- Provides scheduling support, including contacting patients within 24 hours of referral. Schedules CMS, private insurance, etc. ensuring all appropriate authorizations are obtained and service limitations identified and communicated in scheduling system.
- Competently and efficiently utilizes all computerized systems.
- Competent and efficient in all phases of scheduling, precertification, preauthorization, pre-registration, registration and collections required by patients seen within outpatient Diabetes and Nutrition Education (DNE) services.
- Able to meet call volume standards by answering calls, monitoring voice messages and maintaining the scheduling work queue. Obtains patient information necessary for proper DNE scheduling.
- Supplies patients with correct instructions and reviews instructions with patients. Is able to answer routine questions concerning nature or length of class.
- Discerns when questions require referral to Diabetes Educators.
- Support staff education programs including facilitating Basic Life Support (BLS) as an instructor, assuring ongoing BLS alignment with accrediting body, Learning Management Systems administration, scheduling of classrooms and instructors.
- Assists with maintaining inventory levels and maintains appropriate volumes of office supplies, medical record forms and clinic supplies.
- Communicates effectively and uses good hand-off communication when necessary with peers, clinical staff, leadership, patient, family and physician offices.
- Provides excellent customer services using AIDET principles and executes service recovery when needed with communication to leadership.
