The Professional Master's and Certificate Programs team-supporting the MS in Pharmaceutical Sciences: Applied Drug Development (ADD) and Psychoactive Pharmaceutical Investigation (PPI) programs, along with their associated graduate-level capstone certificates-is seeking a Graduate Program Recruiter and Admissions Coach to join our Student Experience Team. This small, fun, and vibrant student-centered team provides full-featured student services throughout the entire student lifecycle (inquiry to application to enrollment to graduation to alumnihood) in a cohesive and supportive manner that prioritizes meeting our students where they are.

The Graduate Program Recruiter and Admissions Coach will serve a critical role on our team. While this role contributes to outreach and recruitment efforts-including planning and hosting promotional webinars-its primary focus is admissions coaching. The Recruiter and Admissions Coach will be the first point of contact for prospective students, building supportive relationships and guiding them through the application process via phone, email, video conferencing, and events (virtual and in-person). The Recruiter and Admissions Coach will maintain records of their one-to-one interactions to track the success of various recruiting and admissions coaching efforts.

This role will rely on a full range of interpersonal skills, including collaboration, coordination, effective communication, and public speaking and will contribute meaningfully to our student-focused approach. Successful candidates will have demonstrated ability to succeed in dynamic, goal-driven, fast-paced team environments. This position allows for work location flexibility; on average, up to four days per week can be worked remotely. Some specific dates will require in-person work to support recruiting efforts.

FTE:

This position can be full- or part-time, 50%-100%.

Key Job Responsibilities:
  • Maintains leads and opportunity data in CRM software program

  • Reviews, evaluates, and responds to student applications for admission to a graduate program according to established policies and procedures
  • Delivers directed admissions program messaging to internal and external audiences
  • Identifies, promotes, and maintains internal and external partnerships focusing on outreach, recruitment, and admission
  • Counsels prospective and admitted graduate students on educational planning and career opportunities
  • Creates targeted communication plans and materials based on established goals
  • Evaluates program effectiveness and provides recommendations for improvement
  • Schedules logistics and secures resources for events to promote the Institution
  • Identifies opportunities for and develops admissions and outreach events
  • Develops and manages webinar-based instructional content for graduate courses, including planning and facilitating live sessions, producing professionally edited recordings, and maintaining an organized repository of webinar materials for ongoing academic use.

Department:

The Professional Master's and Certificate Programs team is part of the Division for Pharmacy Professional Development within UW-Madison's School of Pharmacy. We are a collaborative group of student services professionals, instructional designers, teaching faculty, and academic program leaders dedicated to providing high-quality learning experiences for our students.

Compensation:

Employees in this position can expect to receive benefits such as generous vacation, holidays, and paid time off, competitive insurances and savings accounts, and retirement benefits through the Wisconsin Retirement System (WRS).

Qualified candidates can expect to earn between $50,000 and $55,000. Candidates who are highly qualified may earn between $55,000 and $60,000.

Required Qualifications:

  • Working expertise with Microsoft Office software (Word, PowerPoint, Excel) and collaboration software (MS Teams, Zoom, Google Drive, Box).

  • Demonstrated excellence in customer service, organizational, interpersonal, verbal, and written communication skills.

  • Proven record of successful collaboration with cross-functional teams and communicating with multiple stakeholders.

  • Demonstrated success meeting deadlines and goals while managing multiple projects.

  • Demonstrated success working autonomously and as a part of a team.


Preferred Qualifications:

  • Experience supporting adult learners, students in online education programs, and/or international and domestic students in STEM graduate programs.

  • Experience with CRM tools (preferably Salesforce).

  • Experience in customer service, sales, or other dynamic people-oriented service environments.

  • Experience working in a remote or hybrid work environment.

Bachelor's Degree - Required Minimum
