Position Summary:

The Facilities Coordinator will own and optimize day-to-day facilities operations for their assigned FlexCare Infusion Centers and Summit Rheumatology offices. This role will be responsible for maintaining safe, clean, compliant, and functional spaces for patients and staff across all locations via local clinic managers and third-party vendors. This position will also assist the Director of Facilities & Expansion on new facility projects, including tenant improvement buildouts.

You'll enjoy the flexibility to work remotely * from anywhere within the U.S. as you take on some tough challenges. For all hires in the Minneapolis or Washington, D.C. area, you will be required to work in the office a minimum of four days per week.

Primary Responsibilities:

  • This job operates in a remote work setting with 20-25% travel. Travel work environments include operating healthcare clinics and active build sites
  • Executes preventative maintenance strategies for annual facility maintenance and management.
  • Coordinating certification and calibration of fire and safety systems, building systems, and other equipment
  • Ensures facilities compliance with accrediting and other regulatory requirements
  • Attends bi-weekly facilities briefs both with the Director of Facilities & Expansion and local clinic staff to maintain communication and consistency
  • Acts as primary communicator and schedule coordinator with local staff, contractors, and third-party vendors to ensure facility needs and requests are met with quality and timely results
  • Maintains thorough documentation of all facilities-related issues or projects, including pertinent account information and local contact information
  • Ensures clinical service accounts and utilities set-up
  • Builds and maintains customer satisfaction with the products and services offered by the organization; provides excellent service to internal and external customers

Competency Statements:

  • Experienced in optimizing resource allocation and identifying cost-saving opportunities while maintaining high-quality standards
  • Knowledgeable about relevant local, state, and federal regulations governing facilities management, with a proven track record of ensuring compliance and mitigating risks
  • Experienced in leading and motivating a diverse team of facilities professionals, fostering a collaborative work environment, and providing opportunities for skill development and career advancement
  • Well-organized and experienced in prioritizing incoming work order requests
  • Exceptional communication skills and interpersonal skills are a must for this position

Required Qualifications:

  • 2+ years of experience with large scale project management in healthcare construction fields and/or facilities management/construction management
  • Experience with MS Office Suite
  • Proven exceptional time management skills
  • Demonstrated ability to work independently and remotely
  • Willing or ability to travel up to 30% of the time
  • Valid Driver's License and Insurance

Preferred Qualifications:

  • Experience in writing and reviewing technical documents such as standard operating procedures, contracts, business associate agreements, etc.
  • Demonstrated ability to navigate the identification of reliable costs effective construction contractors in various locations within designated markets
  • Experience using Asana or other project management platforms
  • Experienced with state and local construction laws and regulations
