OverviewThe Global Workplace Services (GWS) team provides real estate transaction expertise, portfolio strategy and planning, capital investment management, workplace strategy and facility operations for Microsoft's corporate office portfolio globally. The Portfolio Strategy and Planning team in GWS is seeking an experienced Senior Portfolio Programs Manager to manage office migration and move programs, and optimize a portfolio of non-standard workspaces - for example, Research & Development (R&D) labs, innovation centers, secure storage rooms, audio/video studios, and similar specialized facilities in the Puget Sound, Microsoft's Headquarters. In this role, you will define and manage the move programming and processes for office restacks - from small moves to complex campus-wide relocations - and ensure our specialty spaces align to our Microsoft's real estate strategy and business requirements while maximizing efficiency and user experience. You will oversee all programs and processes related to moves and these unique space types, providing strategic direction and collaborate with the day-to-day facilities operations and implementation teams to meet technical requirements, safety standards, and business needs. While the scope is focused within Puget Sound, the role will work closely with regional partners to drive key strategic insights and processes that can be scaled or replicated. ResponsibilitiesMaintain a comprehensive intake process and inventory data management of all specialty spaces and their usage across the portfolio. Develop and implement strategic programs for optimal space utilization to ensure each facility is used effectively and aligns with overall real estate objectives. Analyze utilization data and costs to identify consolidation opportunities or the need for new specialty spaces. Plan and optimize the allocation of specialty spaces in alignment with business demands. Partner with Portfolio Planning and Design teams to integrate labs and other special spaces into broader space plans, accommodating growth or technology changes. Define move programming and processes to support the customer experience and business operations to drive efficiencies. Serve as the primary liaison between GWS and the business groups that use specialty spaces, in partnership with the Portfolio Planning Manager, and work closely to understand their unique space requirements for current and future projects. Collaborate with internal partners such as Facilities Operations, IT, Security, and Environment, Health & Safety to ensure each specialty space is properly equipped, secure, and safe for its intended use. Regularly audit these spaces for compliance and functionality, and partner with subject-matter experts to implement improvements or remediate risks as necessary. Develop standard operating procedures and governance for specialty space usage to maintain consistency across the portfolio. Track key metrics for specialty spaces (e.g. occupancy rates, utilization, costs, downtime) and report on program performance to senior leadership. Key Skills & Competencies Program/project management skills with the ability to juggle multiple initiatives and drive them to completion. Capable of solving multifaceted problems and making data-driven recommendations to improve space efficiency or reduce costs without compromising functionality. Comfortable working with technical concepts like lab utilities, specialized HVAC or acoustic treatments, and secure access systems. Excellent communication and stakeholder management skills. Proven ability to collaborate across diverse teams and to communicate plans and updates clearly to both technical and non-technical audiences. Drive solutions and lead effectively in a fast-paced, dynamic environment. A continuous improvement mindset with a passion for optimizing space solutions and driving innovation within the company.
